VouchRow vs ChatGPT

Many people now try ChatGPT for bank statements before anything else: upload the PDF, ask for a table, download the result. It is a general assistant that can read a statement, while VouchRow is a converter built to prove each row against the statement’s balances. This page compares the two for getting transactions into a spreadsheet or your books.

The short answer

Which one should you use?

For one short, digital statement that you will check against the PDF yourself, ChatGPT is fine, and you may already pay for it. For client work, long or scanned statements, card statements, or anything going into QuickBooks, Quicken or Xero, use a converter that checks its own output, then use ChatGPT on the checked file if you want analysis.

Cost Better hereIncluded in a ChatGPT plan you may already have. OpenAI says the Free plan allows 3 file uploads a day.A VouchRow plan, priced by pages that carry transactions.

Checking the rowsNo built-in reconciliation. OpenAI says ChatGPT can produce incorrect output and should be verified. Better hereRunning balance per row, page subtotals, opening plus movement against closing, printed totals and row count, on every conversion.
Finding a wrong rowCompare the table with the PDF yourself. Better hereThe first row where the balance breaks is shown with the dollar gap, and clicking it highlights the line on the PDF.

When ChatGPT for bank statements is the right tool

If you have one digital statement of two or three pages, want the rows in a spreadsheet once, and will check the total yourself, ChatGPT is a reasonable way to do it. You may already pay for it, there is nothing new to learn, and it can do things a converter does not: explain a charge, total spending by payee, or rewrite the table in whatever shape you ask for.

It is also the better tool for questions after the conversion. “Which of these payments recur every month?” is a question for an assistant, not a converter. The trouble starts when the table itself is the deliverable: something that will be imported into the books, handed to a client or relied on in a loan file.

What OpenAI’s own pages say

OpenAI is direct about the limits. Its help page “Does ChatGPT tell the truth?” says the model can produce incorrect or misleading output, may sound confident when wrong, and should be used as a first draft rather than a final source. Its data analysis page says ChatGPT may not reliably extract exact values from scanned files or image-based tables, and recommends a spreadsheet or text file when exact values matter.

The file limits are generous for size (512 MB and 2 million tokens per document), but the same page says only ChatGPT Enterprise reads the images inside a PDF; other plans extract its digital text. That is why a scanned statement, which has no text layer, is the weak case. The data analysis page adds that a file can upload successfully and still be too large or complex for complete analysis.

None of that is a criticism hidden in fine print. It is OpenAI describing a general tool honestly, and it puts the checking on you.

The check is the real cost

Whatever produces the table, someone has to prove it matches the statement. Take a made-up month: opening balance $2,450.00, deposits $3,180.25, withdrawals $4,012.60, closing balance $1,617.65. If the table’s rows do not add up to that closing figure, a row is missing, duplicated, misread or signed the wrong way, and you have to find which one.

With ChatGPT that work happens after the answer, by you, every time. With VouchRow it happens as part of the conversion: the running balance is tested on every row the bank printed one for, then page subtotals, printed totals and the row count. A failure names the row and the dollar difference, and the source line is one click away. On a card statement the same idea runs against the printed summary.

For a single statement the difference is a few minutes. For a bookkeeper converting forty statements a month, the check is most of the job, and doing it by hand with a calculator is where errors survive.

Data and training, side by side

On consumer plans, OpenAI says your conversations can be used to train its models unless you turn off Improve the model for everyone under Settings, Data controls. Temporary chats are not used for training but may be kept for up to 30 days, and giving a thumbs up or down on a response can make that conversation eligible for training even after you opt out. Business, Enterprise and Edu workspaces are excluded from training by default.

Here there is no setting to find: statements are not used to train any model. A digital statement is read in your browser. A scan is sent to a vision model with data collection denied, and what is kept afterwards follows the retention your workspace sets. For a professional handling client statements, either route needs a decision; ours is simply the narrower one.

Using both

The tools fit together. Convert the statement in VouchRow, let the checks pass, and export Excel or CSV. Then, if you want to ask questions about spending, give ChatGPT the checked spreadsheet rather than the PDF. That follows OpenAI’s own advice to upload a spreadsheet or text file when exact values matter, and it means the numbers the assistant reasons about are numbers you have already proved.

The split also keeps each tool on the work it is documented for. Using ChatGPT for bank statements at the analysis stage plays to what it does well, plain-language questions over clean data, while the conversion, the balance checks and the export to QuickBooks, Quicken or Xero stay with a tool whose output is tested against the bank’s own numbers before anyone relies on it.

What ChatGPT does better

Already on your screen

If you use ChatGPT for other work, there is no new account or plan to add, and a short statement takes a few minutes.

Questions, not just rows

It can explain a charge, group spending, spot recurring payments and reshape the table in plain language. A converter does none of that.

Any document, not only statements

The same tool reads invoices, contracts and letters. VouchRow reads bank and credit card statements only.

Where VouchRow differs

The check is built in

Every conversion is tested against the running balance, page subtotals, printed totals and row count, and a mismatch is shown in dollars at the row where it starts.

Every row linked to the PDF

Click a row and its line is highlighted on the statement, so confirming what the bank printed takes one click.

Ready for the books

Card signs handled the cardholder’s way, eight export formats including QBO, IIF and Tally XML, and a direct send to QuickBooks Online with no repeats from VouchRow.

FAQ

VouchRow vs ChatGPT: questions

Can ChatGPT read bank statements accurately?

It can read them, but OpenAI itself says ChatGPT can produce incorrect output and should be verified. No one publishes a reliable accuracy figure for it, and we make no accuracy claims for ourselves either. What matters is whether the result is checked against the statement’s balances.

Is ChatGPT or a bank statement converter better for bookkeeping?

For bookkeeping, a converter that reconciles its own output is the safer route, because the rows go into the books. ChatGPT is useful afterwards, for questions about a checked file.

Can ChatGPT read a scanned bank statement?

OpenAI says ChatGPT may not reliably extract exact values from scanned files, and that only Enterprise reads images inside PDFs. VouchRow reads scans with OCR, one at a time, and checks them like any other statement.

How many statements can I upload to ChatGPT?

OpenAI lists up to 80 files every 3 hours, 3 uploads a day on the Free plan, and limits that may be lowered at peak times. Each document can be up to 512 MB and 2 million tokens.

Does ChatGPT use my bank statements for training?

On consumer plans it can, unless you turn off Improve the model for everyone in Data controls. Business and Enterprise workspaces are excluded by default. VouchRow does not use statements to train any model.

Can ChatGPT make a QBO file for QuickBooks?

It is not a documented ChatGPT feature, and a QBO file needs the right bank ID and unique transaction IDs to import cleanly. VouchRow exports QBO with both, or sends the statement to QuickBooks Online directly.

Can I use ChatGPT and VouchRow together?

Yes, and it is a good split. Convert and check the statement here, export Excel or CSV, then give ChatGPT the checked file for analysis.

How this page was researched

Everything here about ChatGPT was read from its maker’s own public pages in October 2026. We did not run statements through it for this page, so nothing here claims anything about its accuracy. Products change; check the pages below before deciding.
