Convert Wells Fargo bank statements to Excel, CSV and QuickBooks

Wells Fargo’s download reaches back 18 months for checking and 90 days for credit cards. Its statements go back up to seven years. Converting the PDF bridges the two.

  • Beyond the 18-month activity window and 90-day card window
  • Proper header row and one signed amount column
  • Batch-convert the statements Wells Fargo makes you save one by one
  • QBO, QFX, CSV and Excel output

The short answer

Can you download a Wells Fargo statement to Excel directly?

You can get a Wells Fargo statement to Excel only indirectly: Wells Fargo’s Download Account Activity produces a comma-delimited file (or a Quicken Web Connect file) for checking, savings and money market accounts going back up to 18 months, and the download defaults to the last 90 days unless you pick a wider range. For credit cards the window is much shorter — up to 90 days or 300 transactions.

Statements last far longer. Wells Fargo keeps deposit account statements online for up to seven years, credit card statements for up to two years, and auto loan statements for up to twelve months — but they are PDFs, and the bank lets you select only one statement at a time.

So once you need more than 18 months of checking or 90 days of card activity, the statements are the only source, and converting them is the practical way to get rows. The same applies to closed accounts: Wells Fargo says statements may stay available for about 90 days after an account closes, so save them before then.

Watch for this

The CSV export has no header row

Wells Fargo’s downloadable CSV starts straight in with data — no column names at all. Xero, Zoho Books and most other importers assume the first row names the columns, so they consume the first transaction as a header and it disappears. Worse, the mapping screen then shows the first transaction’s values as the column labels, which looks like a strange but plausible file rather than an obviously broken one. If a Wells Fargo import is short by exactly one transaction, this is why. Converting the PDF statement instead sidesteps it, because the output is written with proper headers.

What Wells Fargo lets you export from a checking account

The download covers the last 18 months at most. Everything before that, back seven years, is in the statements.

Download Account Activity

90 days by default, up to 18 months

A Comma Delimited file (ASCII or spreadsheet) or a Quicken Web Connect file. Business Online adds QuickBooks Web Connect, with the same 90-day default and up to 18 months on an extended range.

Where it stops: Nothing older than 18 months, and the comma-delimited file has no header row, so importers often take the first transaction as column names.

How far back

How far back each Wells Fargo checking option reaches

Wells Fargo publishes its limits plainly, and they differ by product. These are the checking, savings and money market figures. Active Cash, Reflect and other card statements have much shorter windows, covered on the Wells Fargo credit card page.

Step by step

How to convert Wells Fargo statements

  1. 1Open Statements & DocumentsSign in to Wells Fargo Online and open Statements & Documents. Choose the account and select each statement to open or save the PDF. Wells Fargo lets you select one statement at a time, so save each into a folder for the period you need.
  2. 2Check which product the statement belongs toDeposit, card and loan statements are laid out differently and have different retention periods. Group the PDFs by account before uploading so each batch is one account.
  3. 3Upload the folder in one goSign in to VouchRow and add the saved PDFs together. Digital statements convert as a batch; scanned statements are read with OCR one at a time.
  4. 4Review the balance proofEach statement is checked against its running balance, beginning and ending balances and totals. Click a row to see its highlighted line on the Wells Fargo PDF.
  5. 5Export to your softwareQBO for QuickBooks (with Wells Fargo’s bank ID), QFX for Quicken, a CSV preset with headers for Xero or QuickBooks, or Excel.

Wells Fargo statement to Excel

An .xlsx with one row per transaction: date, check number, description and one signed amount, deposits positive and withdrawals negative. Wells Fargo’s two amount columns are folded into one, and the rows are checked against every Ending daily balance before you see them, so a day that does not agree is flagged with its dollar difference.

Long descriptions stay whole, with the merchant or originator on the same row as the amount. A year of Everyday Checking converts in one batch once the twelve PDFs are saved.

Why it works

Why convert Wells Fargo statements rather than rely on the download

History beyond 18 months

Up to seven years of deposit statements are online. Converting them reaches the periods the activity download cannot.

Card history beyond 90 days

With card downloads capped at 90 days or 300 transactions, two years of card statements is the only route to a full year of card spending.

A CSV that importers accept

The CSV written here names its columns in the first row and uses one signed amount, so no transaction is swallowed as a header.

Merchants pulled out of long descriptions

Wrapped descriptions are merged, so the merchant buried after the transaction code is on the same row as the amount for bulk labelling.

Proof against the statement

Opening plus movement must equal closing, and the running balance must agree row by row. A missed line is flagged before you import.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Wells Fargo’s download options and their limits

Wells Fargo is unusually clear about its limits, and they are tighter than many people expect. Account activity can be viewed for up to 18 months on checking, savings and money market accounts, up to 24 months on lines of credit and installment loans, and up to 90 days or 300 transactions on credit cards. The download defaults to the last 90 days; for some account types you can choose a time frame of up to 18 months.

The formats on the personal side are Comma Delimited (described as ASCII, spreadsheet) and Quicken Web Connect. Business customers have a QuickBooks Web Connect option in Business Online, and Wells Fargo’s business pages list connections to Quicken, QuickBooks Online and Desktop, and Xero. Quicken Classic users can also connect through Direct Connect.

Statements are separate. Deposit account statements stay online for up to seven years, credit card and personal loan statements for up to two years, auto loan statements for up to twelve months. Wells Fargo’s FAQ is explicit that you can select only one statement at a time — there is no bulk download, which is why “download all Wells Fargo statements at once” is such a common search.

Statement layout

How a Wells Fargo statement is laid out

Wells Fargo checking statements open with an activity summary — beginning balance, deposits and additions, withdrawals and subtractions, ending balance — and then a transaction history table with columns for the date, check number, description, deposits and credits, withdrawals and debits, and the ending daily balance. That last column is the important one: the balance is printed once per day, on the last transaction of the day, not on every row.

So the running-balance check works at day level: all transactions on a date are applied, and the result must match the ending daily balance printed beside the last of them. Rows on days with several transactions have an empty balance cell, which is normal.

Descriptions are long and wrap: a transaction type, a reference or authorisation code, then the merchant or originator, sometimes on the second line. Wrapped lines are merged into one description. Check images, when included, follow the transaction table; they are pictures of checks and are not extracted as rows.

Credit cards

Wells Fargo credit card statements

Active Cash, Reflect and other Wells Fargo card statements list payments, other credits, purchases and fees as separate groups, with a transaction date and a post date for each row and no running balance. They are checked against the summary — previous balance, payments, other credits, purchases and fees, interest, new balance.

This is where Wells Fargo’s download is least useful: 90 days or 300 transactions. If you need a full tax year of card spending, the two years of card statements online are the source, and converting twelve statements gives you twelve reconciled cycles in one file.

Software

Importing Wells Fargo statements into QuickBooks, Quicken and Xero

QuickBooks: export QBO and enter Wells Fargo’s INTU.BID so the file goes through the banking feed. On a Mac, QuickBooks imports Web Connect files through its import menu; on Windows, opening the QBO starts the import. If you would rather avoid the bank-ID check, the QuickBooks three-column CSV preset imports through the CSV upload.

Quicken: export QFX with the bank ID, or QIF. Xero: the Xero CSV preset, with headers in the first row — which matters here, because the problem most people hit with a Wells Fargo file in Xero is the first transaction being taken as the header row.

Because transaction IDs are deterministic, a statement converted twice imports once. That is useful on Wells Fargo accounts where the 90-day download and the converted statements overlap.

Troubleshooting

Common problems with Wells Fargo files

Wells Fargo problems cluster around the download file and around volume.

  • Import is one transaction short: the bank’s comma-delimited file has no column names, so the importer took the first transaction as the header. A converted CSV has headers.
  • Running balance check fails mid-day: the ending daily balance sits on the last row of each date, not every row. The check is applied per day.
  • Only 90 days in the download: that is the default; widen the date range for eligible accounts, and convert statements for anything older than 18 months.
  • Card download stopped at 300 transactions: the card download limit. Convert the card statements instead.
  • A closed account’s statements disappeared: Wells Fargo says they remain for about 90 days after closing. Save them before then; converting works on the saved PDFs at any time.

Before you import

After converting a Wells Fargo checking statement, check these

  • The month balancesBeginning balance plus deposits minus withdrawals equals the ending balance on the Activity summary. If not, the dollar difference is shown.
  • Every day’s balance agreesAfter the last row of each date, the running total matches the Ending daily balance Wells Fargo printed.
  • Checks counted onceNo rows from the Summary of checks written; each check appears only where it sits in the Transaction history.
  • Signs follow the columnsRows from the Deposits/Additions column are positive and rows from Withdrawals/Subtractions negative.
  • A header row in the CSVThe first line names the columns, so your importer starts with the first real transaction.
  • Every statement savedWells Fargo lets you select one statement at a time. Check the batch has every month before converting, especially for an account closing within 90 days.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

CSV for Wells Fargo

A CSV written with real headers and one signed amount column imports cleanly where the bank’s own export does not.

Who uses it

Who converts Wells Fargo statements

01

Bookkeepers catching up a business

Two years of Business Checking statements become reconciled QBO files, past the 18-month limit of Business Online’s download.

02

Tax preparation on a Wells Fargo card

A full year of card spending is out of reach of a 90-day download. Twelve converted statements give the year, checked cycle by cycle.

03

Lenders reviewing deposits

An applicant’s statements become a sortable list of deposits that ties to the ending daily balances on the PDFs.

04

Estate and divorce work

Statements saved before an account closed are converted into a ledger, each row linked to the produced PDF.

FAQ

Wells Fargo statements: questions

How do I download a Wells Fargo statement to Excel?

For the last 18 months of checking or savings activity, use Download Account Activity and choose Comma Delimited, which Excel opens. For statements beyond that, or for card history beyond 90 days, save the PDF statements and convert them here to Excel.

How far back can I download Wells Fargo transactions?

Up to 18 months on checking, savings and money market accounts (the download defaults to 90 days), up to 24 months on lines of credit and installment loans, and up to 90 days or 300 transactions on credit cards.

Is there a way to download all Wells Fargo statements at once?

Not from Wells Fargo: its FAQ says you can select only one statement at a time. Once saved, though, the PDFs can be uploaded here together and converted as one batch.

How long does Wells Fargo keep statements online?

Up to seven years for deposit accounts, up to two years for credit cards and personal loans and lines, and up to twelve months for auto loans. After an account closes, statements may remain for about 90 days.

My Wells Fargo CSV import is missing the first transaction. Why?

The bank’s comma-delimited download has no header row, so the importer read the first transaction as column names. Add a header row, or convert the statement and import a CSV that has one.

How do I get a QBO file from Wells Fargo?

Business Online offers a QuickBooks Web Connect download for recent activity. For older statements, convert the PDF and export QBO with Wells Fargo’s bank ID.

Why is the balance column blank on some rows?

Wells Fargo prints an ending daily balance, on the last transaction of each day only. The check here works per day, so blank cells on earlier rows of the same date are expected.

Can I convert a Wells Fargo credit card statement?

Yes. Card statements have no running balance, so the rows are checked against the printed summary totals instead.
