The short answer

Can you export a Navy Federal statement to Excel?

Navy Federal’s statements are PDFs, saved for you for up to 36 months in digital banking. Navy Federal does not publish which transaction download formats its online banking offers or how far back they reach, so check Account History in online banking for the current options. For a full statement period, an older month, or anything that has to match the statement exactly, you convert the PDF, and you get the same Excel, CSV or QuickBooks file either way.

The PDF is the complete record, and it is shaped differently from most banks’: one combined statement each month for your primary savings, checking, Money Market Savings, consumer loans and Checking Line of Credit. Credit cards come on their own Visa or Mastercard statement, and certificates and IRAs on a quarterly one.

A converted Navy Federal deposit account is checked twice over: the running balance on every row, and each account’s beginning balance plus its deposits, minus its withdrawals, against its ending balance. Card statements are checked against their account summary instead.

Watch for this

One PDF holds several accounts, and transfers between them appear twice

Navy Federal’s combined statement puts your primary savings, checking, Money Market Savings, consumer loans and Checking Line of Credit into one monthly PDF. A summary of all the deposit accounts comes first, then each account has its own section with its own beginning balance, transactions, running balance and ending balance. A converter that treats the PDF as one account runs the balances together and none of them reconcile. And because the accounts sit side by side, every transfer between them prints twice: once out of checking and once into savings. Imported into the same books as two accounts, that is a transfer, not income and an expense. Each account’s section has to be read and proved on its own, and the summary block has to stay out of the rows.

Step by step

How to convert a Navy Federal statement

  1. 1Save the statement PDFs from Navy FederalIn online banking, choose Statements from the navigation menu. In the mobile app, choose More, then Account and Tax Statements, and pick Combined Checking and Savings Accounts, Credit Card and Loans, or Certificates and IRAs.
  2. 2Keep statement types apartConvert combined statements as one batch and credit card statements as another. They are laid out differently and are checked differently.
  3. 3Upload and convertSign in to VouchRow and add the PDFs. Digital statements convert in batches. A scanned paper statement is read with OCR, one at a time. A password-protected PDF is unlocked in your browser; the password is never sent.
  4. 4Check every account’s balancesEach row’s running balance and each account’s ending balance are checked. If anything is off, VouchRow shows the dollar difference, and clicking any row shows its line on the PDF.
  5. 5ExportExcel or CSV to review, QBO for QuickBooks, QFX or QIF for Quicken, or the Xero CSV preset. Import each account’s rows into the matching account in your software.

Navy Federal statement to Excel

An .xlsx with one row per transaction: date, description, a signed amount and the running balance from the statement, with deposits positive and withdrawals negative. The Beginning and Ending Balance lines are not rows; they are what the rows are checked against.

Each row links back to its line on the PDF, so on a combined statement you can always see which account’s section a row came from before you filter or total it.

Why it works

Built around how Navy Federal prints a statement

Several accounts, one PDF

Checking, savings and money market sections are read as the separate accounts they are, each with its own balances, instead of one long list.

Running balance on every row

Each account’s balance column is checked line by line, so a missed or misread row shows up at the line where the balance stops matching.

The summary is the proof

The summary of your deposit accounts lists each account’s previous balance, deposits, withdrawals and ending balance. It is checked against, not imported.

The right year on every row

Rows print a month and day only. The year comes from the statement period, so a December to January statement puts each row in the right year.

Card statements signed as cards

Navy Federal Visa and Mastercard statements have no running balance. They are proved against the account summary, with payments and credits kept as credits to the card.

Statements older than the download

Any of the 36 months of statements online converts the same way, and so do older copies you order or saved.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Every row agrees with the balance printed beside it.

Layout

How a Navy Federal combined statement is laid out

Navy Federal describes the monthly combined statement as transaction history “for your primary savings, checking, Money Market Savings, consumer loan, and Checking Line of Credit accounts, as applicable.” It does not publish a sample, so check the details below against your own statement.

Statements members have shared open with a Statement of Account header (the statement period and your access number), then a summary of your deposit accounts: one line per account with the previous balance, deposits and credits, withdrawals and debits, the ending balance and year-to-date dividends. None of those are transactions.

Each account follows in its own section, named with the account type and number and any joint owners. The columns are the date, the transaction detail, the amount and the balance. The section opens with a beginning balance line and closes with an ending balance line, and debits are marked as withdrawals while deposits are not. Navy Federal’s statement disclosure adds an interest charge calculation table (balance subject to interest rate) for the Checking Line of Credit, and a deposit voucher at the bottom of the statement.

Transfers

Transfers between your Navy Federal accounts

Because checking and savings share a statement, a transfer from one to the other appears in both sections: as a withdrawal from checking and as a deposit to savings. The combined statement is right to show it twice; each account’s balance depends on it.

In the converted file each transfer stays in the account it came from, so both accounts reconcile. When you import both into QuickBooks, Quicken or Xero, match the pair as a transfer between your own accounts. Left as they are, the deposit looks like income and the withdrawal like an expense.

Credit cards

Navy Federal credit card statements

Navy Federal Visa and Mastercard accounts get their own monthly statement. Navy Federal’s guide to card statements names the parts: an account summary (previous balance, payments, credits, fees and so on), payment information with the minimum payment and due date, transaction details, interest charges, available credit and, on rewards cards, a rewards summary.

Only the transaction details are rows. There is no running balance, so a converted card statement is checked against the account summary: previous balance, minus payments and credits, plus purchases, fees and interest, must equal the new balance. Payments and credits stay credits to the card in every format.

Older statements

How far back Navy Federal statements go

Navy Federal says up to 36 months of statements are saved for you in digital banking, available to view or print at any time. Its electronic statement disclosure says the same: a PDF can be printed or saved for any statement less than 36 months old.

For anything older, Navy Federal will send a copy for $2.00 per statement, requested through online banking or by calling 1-888-842-6328. A mailed copy converts like a downloaded one; a paper copy you scan is read with OCR, one statement at a time.

Troubleshooting

Common Navy Federal conversion problems

Most Navy Federal errors come from the combined statement.

  • Balances never match: the checking and savings sections were read as one account. Each section has its own beginning and ending balance.
  • Extra rows at the top: the summary of your deposit accounts was read as transactions. Those lines are the per-account totals.
  • Income looks too high after import: transfers from checking to savings were imported as deposits. Match them as transfers.
  • Withdrawals show as deposits: the debit marker on the amount was missed. The running balance check catches it on the first row it affects.
  • Rows in the wrong year: the statement prints a month and day only. The year has to come from the statement period.
  • Statements stop three years back: Navy Federal keeps 36 months online. Older copies are $2.00 each on request.

Before you import

After converting a Navy Federal statement, check these

  • Every account balancesEach account’s beginning balance plus its rows equals its ending balance. If not, the difference is shown.
  • Accounts kept apartChecking rows go into the checking account and savings rows into savings, not one combined list.
  • Transfers matchedEach transfer between your Navy Federal accounts is one transfer in your books, not income plus an expense.
  • No summary rowsNo lines from the summary of deposit accounts, and no Beginning or Ending Balance lines, among the transactions.
  • Dates in the right yearOn a statement that crosses New Year, the December rows are in the old year and the January rows in the new one.
  • Dividends presentSavings dividends appear as deposits when the statement shows them.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

Excel for Navy Federal

A combined statement mixes several accounts, so the first job is usually to review each account’s rows and transfers in a spreadsheet. QBO or QFX follow once you know which account each set of rows belongs in.

FAQ

Navy Federal statements: questions

Up to 36 months are saved in digital banking. Older statements can be requested for $2.00 per copy through online banking or by calling 1-888-842-6328.

It is a combined statement: a summary of your deposit accounts, then a section per account with a beginning balance, the transactions with an amount and a running balance, and an ending balance. Credit cards come on a separate statement.

Why are my checking and savings on the same statement?

Navy Federal issues one monthly combined statement for primary savings, checking, Money Market Savings, consumer loans and the Checking Line of Credit. Each account still has its own section and its own balances.

Does Navy Federal work with Quicken?

Yes. Quicken’s support page (updated July 2024) says Navy Federal moved its Express Web Connect accounts to a newer connection type, EWC+. For months the connection does not reach, convert the statements to QFX and import them into the same account.

Can I convert a Navy Federal credit card statement?

Yes. Card statements are separate from the combined statement and have no running balance, so each one is checked against its account summary. Convert them in their own batch.
