Import bank statements into Zoho Books

Zoho Books reads more statement formats than most, and even PDFs from a short list of banks. For every other bank, older statements and scans, a CSV or OFX is the way in. Here is how to make one Zoho maps correctly.

  • CSV that fits Zoho’s amount column types
  • OFX and QIF with no mapping
  • Any bank, digital or scanned
  • Checked against the closing balance first

The short answer

Can you import a PDF bank statement into Zoho Books?

Sometimes. Zoho Books’ US help lists PDF import for a fixed set of institutions, including Chase, Bank of America, TD Bank, Truist, Capital One credit cards and American Express cards, and its Indian help also lists PDF among accepted formats. For any other bank, or a statement Zoho can’t read, Zoho needs a statement file: CSV, TSV, OFX, QIF, CAMT.053, CAMT.054 or MT940.

Of those, CSV is the one Zoho lets you map and preview field by field, and it remembers the mapping if you ask it to. OFX and QIF need no mapping at all.

VouchRow converts the PDF statement, digital or scanned, into CSV, OFX or QIF after checking every row against the statement’s running balance. You then import the file into the bank account in Zoho Books.

CSV for Zoho Books

Zoho saves the column mapping per bank, so the first import costs a minute of setup and every one after it is two clicks.
What bites people

The saved mapping is per bank, and it is sticky

Zoho reuses the column mapping it learned from your last import for that bank. That is helpful until the file’s shape changes — a different converter, an extra column, a renamed header — at which point the saved mapping is applied to the new layout and quietly maps the wrong columns. If an import comes out wrong after months of working, check the mapping before you check the file.

Step by step

How to import a PDF bank statement into Zoho Books

Import into the bank or credit card account the statement belongs to, in that account’s currency.

  1. 1Download the PDF statementsCollect the statements for the period Zoho Books doesn’t have: before the bank feed, during a feed outage, or for an account with no feed. One account per file.
  2. 2Convert and check the statementSign in and upload the PDFs. Every row is checked against the running balance and the closing balance, and flagged rows link to the highlighted line on the PDF so you can fix them.
  3. 3Export CSV or OFXFor CSV, the QuickBooks three-column preset (Date, Description, Amount, money out negative) maps straight to Zoho’s Single Column with Negative Values. The full export, with separate Debit and Credit columns, suits Double Column. OFX skips mapping.
  4. 4Open Import Statement in Zoho BooksGo to Banking, open the account, click the gear icon at the top right and choose Import Statement. Select the file; for CSV, choose the amount column type, the character encoding (UTF-8) and the delimiter (comma).
  5. 5Map fields and previewOn Map Fields, Zoho pre-selects the best match for each field. Check the date and amount fields, tick “Save these selections for use during future imports” if this bank will be imported again, then check the Preview tab for errors before clicking Import.
  6. 6Categorise and reconcileMatch or categorise the imported transactions from the Banking screen, then reconcile the account against the statement’s closing balance.

Why it works

What converting first does for Zoho Books

Any bank, not a fixed list

Zoho’s PDF import covers named institutions. A converted CSV or OFX works for every bank, including Indian, UK and smaller US banks.

A stable file shape

Zoho reuses a saved mapping for the same bank. The same preset produces the same columns every month, so the saved mapping keeps fitting.

Reconciles first time

Each statement is proven against its running and closing balance before import, so reconciliation in Zoho starts from rows that already add up.

Scanned statements

Paper statements go through OCR and the same arithmetic checks as digital PDFs.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

How the checks work

Running balance check

RowAmountBalance
  • POS AMAZON MKTPLACE−86.4316,604.12
  • CHECK #1042−1,250.0015,354.12
  • ZELLE FROM J MORALES+640.0015,994.12

Every row agrees with the balance printed beside it.

CSV rules

Zoho Books CSV import: amount column types and mapping

Zoho asks how the amount is laid out before it maps anything. Choosing the wrong type is the usual reason a CSV import produces nonsense, so match it to the file you exported.

  • Double Column: separate deposit and withdrawal columns. Use the full export, mapping Credit to deposits and Debit to withdrawals.
  • Single Column with Negative Values: one amount, positive for deposits and negative for withdrawals. This is the QuickBooks three-column preset.
  • Single Column and Amount Type: one amount plus a column saying debit or credit. Not needed for a converted statement.
  • Choose UTF-8 encoding and comma delimiter; CSV exports here are UTF-8.
  • Check the date field and its format on the Map Fields and Preview tabs. Pick ISO, day-first or month-first at export and keep it the same every month so a saved mapping stays valid.

Errors

When a Zoho Books statement import fails

Zoho’s own troubleshooting article gives four causes for a statement that won’t import, and the Preview tab catches most of them before you commit.

  • Unsupported file format: the file isn’t one of the types Zoho lists. Export CSV, OFX or QIF rather than an Excel workbook.
  • A PDF that was altered or renamed before upload is rejected by Zoho’s PDF import. That is Zoho’s rule for its own PDF reader; a converted CSV or OFX is not affected.
  • Required fields missing or mapped to the wrong column: usually a saved mapping applied to a file with a different layout.
  • Statements that show as processing: Zoho’s India help says PDF statements can take up to 48 hours to appear.

Mistakes

Undoing an import, and avoiding duplicates

If an import goes wrong, Zoho Books has Undo Last Import under the same gear menu. It shows the transactions it will delete before you confirm, but it only reverses the most recent import, so check each import before starting the next.

Zoho’s help doesn’t describe duplicate detection on statement import, so treat overlaps as your problem to prevent. Note the earliest date the bank feed holds and end the converted statement the day before.

Country notes

Zoho Books in India and the US

In India, Zoho Books is often the alternative to Tally for smaller businesses, and the statements come from HDFC, SBI, ICICI, Axis and Kotak, often as password-protected PDFs. Zoho’s own PDF import has a password option, and so does this converter: the password unlocks the file in your browser and is never sent to us. Indian statements print a running balance on every row, which the check uses directly.

In the US, Zoho’s PDF import covers several large banks and card issuers. A converter is still the route for banks outside that list, for scanned statements, and when you want each statement checked against its balances before it reaches the books.

Whatever the country, the statement currency has to match the Zoho account’s currency. Converting a statement doesn’t change its currency.

Who uses it

Who imports converted statements into Zoho Books

01

Small businesses moving to Zoho

History before the move exists only as PDF statements. Import it so opening balances are backed by transactions.

02

Indian SMEs and their accountants

Banks without a Zoho feed, and old statements a bank only provides as PDFs.

03

Bookkeepers with many banks

OFX avoids keeping a saved mapping per bank; CSV with one preset keeps every mapping identical.

FAQ

Zoho Books imports: questions

Which formats does Zoho Books accept for bank statements?

CSV, TSV, OFX, QIF, CAMT.053, CAMT.054 and MT940, plus PDF for a list of supported institutions. The exact list varies slightly by region.

Can I import a PDF bank statement into Zoho Books?

Only from banks on Zoho’s supported list. For other banks and for scans, convert the PDF to CSV or OFX first.

Which amount column type should I choose?

Single Column with Negative Values for the three-column CSV (money out negative). Double Column for a file with separate debit and credit columns.

Does Zoho Books remember my column mapping?

Yes, if you tick “Save these selections for use during future imports”. If the file’s layout changes later, the saved mapping can map the wrong columns, so check it after any change.

How do I undo a wrong import in Zoho Books?

Use Undo Last Import from the gear menu on the account. It previews what it will delete and only reverses the most recent import.

Can I import a QBO file into Zoho Books?

QBO isn’t on Zoho’s list. Convert to OFX, which is the same family of format without the QuickBooks bank ID.

Can I import into a foreign-currency account?

Yes, but the statement’s currency has to match the account’s. Converting a statement doesn’t convert its currency.
