PNC Virtual Wallet, business checking and card statements

Convert PNC bank statements to Excel, CSV and QuickBooks

PNC exports recent activity to Quicken and QuickBooks and keeps up to seven years of statements online. The statements print every amount as positive — converting them right means reading the section headings.

  • Section headings turned into signs on every row
  • Spend, Reserve and Growth handled as separate accounts
  • Daily balance detail used as the check
  • Up to seven years of statements, converted in batches

The short answer

Can you download PNC transactions to Excel?

Converting a PNC statement to Excel is only needed for history PNC’s own export does not reach. PNC lets personal customers export activity from Online Banking as QFX for Quicken or QBO for QuickBooks; small business customers can also download activity in Excel format, and credit card customers can export up to 13 months of posted transactions to Quicken, QuickBooks or Excel.

Statements are kept longer: PNC says up to seven years for checking and savings, four years for credit cards, and five years for mortgage and home equity — viewable, savable and printable as PDFs. PNC also warns that online statement history may not be available for accounts that have been closed, so save statements before you close an account.

When you need a period the export does not cover, a closed account’s history, or rows that tie to the balances on a statement, convert the PDF. On PNC that means reading each section heading as the sign of the amounts beneath it — the step generic PDF-to-Excel tools skip.

Watch for this

The sign lives in the section heading, not in the number

PNC prints amounts as positive numbers throughout and tells you what they are by which table they are in. A withdrawal under "Banking machine withdrawals" is written 40.00, exactly as a deposit under "Deposits and other additions" is. Extract the tables without carrying the heading down onto the rows and every withdrawal arrives as money coming in — the totals stay plausible, the balance is spectacularly wrong, and the cause is invisible in the spreadsheet because the numbers are all correct. The heading is the sign, and it has to be read as data rather than as decoration.

What PNC lets you export

PNC’s export is signed for you; its statements are not. Converting the statement is where the section headings have to be read.

Export in PNC Online Banking

Not published for deposit accounts

Personal customers export transactions as .QFX for Quicken or .QBO for QuickBooks. In Quicken the connection is PNC Bank – Web Connect, in QuickBooks Desktop PNC Bank QBDT EWC, and in QuickBooks Online PNC Bank. Small business Online Banking also downloads Excel and Microsoft Money files.

Where it stops: PNC does not say how far back a checking export reaches, and the dates you pick will not line up with a statement period.

Where it stops: Combined statements are not available online, so each Virtual Wallet account is its own PDF. Statements for a closed account may not be available.

How far back

How far back each PNC option reaches

PNC publishes its statement archive and its card window, but not how far back a checking or savings export goes.

Step by step

How to convert PNC statements

  1. 1Open Statements and DocumentsSign on to PNC Online Banking, choose the account and open Statements and Documents, then View PDF for each statement. In the mobile app, Statements and Documents is under More; pick the account and the year.
  2. 2Save each account’s statementsPNC presents each account separately online — even if your paper statement combined several — so save the statements per account, for example Spend and Reserve separately.
  3. 3Upload to VouchRowSign in and add the PDFs. Digital statements convert in batches; scanned statements are read with OCR one at a time.
  4. 4Check the signs and the balanceConfirm deposits came out positive and deductions negative, then that the running balance agrees with PNC’s daily balance detail. Click any row to see its source line.
  5. 5ExportCSV with one signed amount column is the easiest to review; QBO and QFX need PNC’s bank ID; Excel keeps everything visible.

PNC statement to Excel

An .xlsx with one row per deposit, check and deduction: date, description, check number where there is one, and a signed amount. Each section’s sign is applied before the sections are merged into one date order, so the column sums to the change between beginning and ending balance.

Add a running total from the beginning balance and it will match each line of the Daily Balance Detail. On a Virtual Wallet, keep Spend, Reserve and Growth in separate sheets: they are separate accounts.

Why it works

What converting a PNC statement gets right

The heading becomes the sign

Amounts under deposits and other additions are positive; amounts under checks, card withdrawals, electronic deductions and other deductions are negative. The heading is carried onto every row.

Sections merged into one date order

Each section restarts its dates. The rows are combined and sorted into one sequence after the signs are fixed, not before.

Daily balance detail as proof

PNC prints balances by date. The running balance built from the rows must match each one, which catches an inverted sign immediately.

Older and closed accounts

Statements you saved before closing an account, or paper statements you scanned, convert the same way.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

PNC’s export options and their limits

PNC’s personal Online Banking exports activity as QFX (Quicken) or QBO (QuickBooks). In Quicken it appears as PNC Bank – Web Connect, which Quicken shows as Express Web Connect+; in QuickBooks Desktop as a PNC Bank express Web Connect connection; in QuickBooks Online simply as PNC Bank. PNC says there are no service fees for these. Small business Online Banking adds downloads in Excel, Microsoft Money, Quicken and QuickBooks formats, and offers Direct Connect for a fee after enrolment.

Credit card customers can see up to 13 months of posted transactions and export them to Quicken, QuickBooks, Money or Excel. PNC does not publish a download window for checking and savings on its public pages, so check what Online Banking offers for your account.

The statement archive is the long-term record: up to seven years for checking, savings, auto and unsecured installment loans; four years for credit cards; five years for mortgage and home equity; ten years for investments. Check images are available for 24 months in transaction history.

Statement layout

How a PNC statement is laid out

A PNC checking statement opens with a balance summary — beginning balance, deposits and other additions, checks and other deductions, ending balance — and then splits the activity into separate tables: deposits and other additions; checks and substitute checks; banking machine and debit card withdrawals; online and electronic banking deductions; other deductions. Every amount in every table is printed as a positive number. Whether it is money in or money out is decided only by the table it sits in.

Each table runs in date order and restarts at the next. After them comes a daily balance detail: dates and ending balances, laid out like another activity table. It is a summary, not transactions, and it is the strongest check available on a PNC statement.

Checks are listed by number with the date paid and amount; substitute checks are listed among them. Dates are month and day, with the year from the statement period, carried correctly across a December–January period.

Virtual Wallet

Virtual Wallet: Spend, Reserve and Growth

Virtual Wallet bundles a Spend account, a Reserve account and a Growth savings account. PNC issues Spend and Reserve statements monthly; Growth gets a monthly statement when there are electronic transfers and a quarterly one otherwise. Online, PNC presents each account separately — its online banking agreement says combined statements are not available online.

For bookkeeping, treat each as its own bank account. Transfers between Spend, Reserve and Growth appear on both sides; import each account into its own register, and the transfers match up rather than doubling income. A quarterly Growth statement next to monthly Spend statements is expected, not a gap.

If your account came to PNC through a bank conversion — PNC’s Quicken page lists FirstBank conversion dates in 2026 — the statements from before the conversion are the old bank’s layout. Convert and check those separately from the PNC ones.

Software

Importing PNC statements into QuickBooks, Quicken and Xero

PNC already issues QBO and QFX for recent activity, so for catch-up the cleanest route is to use PNC’s files for recent months and converted ones for older months, with the same bank ID. Read the ID from a QBO PNC issued you; deterministic transaction IDs on the converted file keep re-imports from duplicating.

For Xero, use the Xero CSV preset; for a QuickBooks CSV upload, the three-column preset. In both, the sign is explicit in one amount column, which is what you want to eyeball on a PNC conversion before it goes anywhere.

Troubleshooting

Common PNC problems and fixes

PNC conversions fail in a small number of recognisable ways.

  • Every transaction came through as a deposit: the section heading was not carried onto the rows. Here it always is.
  • Ending balance wildly off but every amount correct: an inverted sign on one section. Check the daily balance detail; the first date it disagrees points at the section.
  • Dates out of order: sections restart their dates. Rows are sorted after signs are applied.
  • Duplicate rows that are all balances: the daily balance detail was extracted. It is used only as a check here.
  • A closed account’s statements are gone online: PNC warns history may not be available after closing. Convert any copies you saved or have on paper.

Before you import

After converting a PNC statement, check these

  • The statement balancesBeginning balance plus deposits and other additions minus checks and other deductions equals the ending balance. If not, the dollar difference is shown.
  • Every deduction is negativeChecks, card withdrawals, online and electronic deductions and other deductions are money out; deposits and other additions are money in.
  • Amounts are amountsNo description column holding dollar figures, and no amount column holding text, from PNC’s amount-before-description order.
  • No Daily Balance Detail rowsNothing from the date and ledger-balance table appears among the transactions.
  • One account per fileSpend, Reserve and Growth converted and imported as separate accounts, with transfers appearing on both sides.
  • Clean check numbersOne row per check, with no asterisk left in the check number.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

CSV for PNC

CSV with one signed column makes the sign explicit and checkable at a glance, which on a PNC statement is the thing most worth checking.

FAQ

PNC statements: questions

How do I download a PNC statement to Excel?

PNC statements are PDFs. Small business and credit card customers can export recent activity to Excel; for statements, save the PDF from Statements and Documents and convert it here.

How far back are PNC statements available online?

Up to seven years for checking and savings, four years for credit cards and five years for mortgage and home equity. Online history may not be available once an account is closed.

Does PNC offer QBO and QFX downloads?

Yes, for recent activity: PNC’s personal Online Banking exports QFX for Quicken and QBO for QuickBooks. For older statements, convert the PDF and export QBO or QFX with PNC’s bank ID.

Every transaction came through as a deposit. Why?

PNC prints amounts as positive numbers everywhere; the section heading is what makes a withdrawal a withdrawal. A conversion that does not carry the heading onto the rows inverts every deduction.

Are Virtual Wallet accounts on one statement?

Online, PNC presents each account separately — combined statements are not available online. Convert Spend, Reserve and Growth as separate accounts.

Why are the dates not in order?

Each section restarts chronologically. The rows are sorted by date here, after the signs are applied.

Does the daily balance detail get imported?

No. It is a summary of balances by date and is used only to check the running balance.
