The short answer
Can you export an Amex statement to Excel?
Yes — for the last two years you can export Amex transactions to Excel yourself; for an Amex statement to Excel beyond that, or tied exactly to a billing cycle, you convert the PDF. American Express says your previous two years of transactions can be viewed online and downloaded as PDF, Excel or CSV, and its help pages describe downloading recent activity and recent billing statements to Quicken or QuickBooks. A Year-End Summary for the previous calendar year is also downloadable in Excel, CSV, PDF, Quicken and QuickBooks formats.
Statements are kept longer as PDFs, and older ones are archived: Amex says archived statements become available online within 24 hours of selecting them. That is usually the answer to “Amex PDF statement not available” — request it, and come back the next day.
Convert the PDF when you need cycles older than two years, a cancelled card’s history, statements produced in discovery, or rows that reproduce the statement’s new balance exactly. Amex statements have no running balance, so each cycle is checked against its previous balance, payments and credits, new charges, fees and interest.

What American Express lets you export
Amex is generous with recent data. Converting the statement is for older cycles, cancelled cards and anything that has to tie to a new balance.
Statements & Activity on americanexpress.com
2 years of transactions; 6 statements to Quicken or QuickBooks
The previous two years of transactions as a PDF, Excel or CSV file, and recent activity and the past six billing statements as Quicken, QuickBooks or CSV files. A Year-End Summary for the previous calendar year downloads in the same kinds of formats.
Where it stops: Nothing past two years, and a date range you pick does not start and end on the closing dates, so it will not reproduce a statement’s new balance.
Billing statements
Up to 7 years
One PDF per billing cycle: the Account Summary, payments and credits, new charges by card member, fees, interest and year-to-date totals. Archived statements are requested from the list and open within 24 hours.
Where it stops: A PDF only. Getting the rows into Excel or QuickBooks means converting it.
Converting the statement with VouchRow
Any statement you have
The PDF becomes rows in the format your software takes, signed as a card account and checked against the Account Summary, with every row linked to its line.
Where it stops: Needs the statement PDF. A cycle older than the online archive has to come from a copy you saved or from Amex.
How far back
How far back each Amex option reaches
American Express gives you three ways to get card data out, and each one stops at a different point.
Download to Quicken, QuickBooks or CSV
Past 6 statements
Amex says recent activity and the past six billing statements can be downloaded to Quicken, QuickBooks or as a CSV file.
Transaction history (PDF, Excel, CSV)
2 years
Your previous two years of transactions can be sorted, filtered and downloaded. The range you pick will not match a billing cycle.
Billing statements (PDF)
Up to 7 years
Amex’s online account gives access to up to seven years of past billing statements. Archived ones become available within 24 hours of selecting them.

Step by step
How to convert American Express statements
- 1Open statements in your Amex accountSign in at americanexpress.com, open the card’s statements and select the cycle you need to open the PDF. Archived statements become available within 24 hours of being selected, so request older ones a day ahead.
- 2Save each cycle as a PDFKeep the files as Amex issued them. Paper statements can be scanned; scans are read with OCR one at a time.
- 3Upload to VouchRowSign in and add the PDFs. Digital statements convert as a batch, so a year of cycles goes in at once.
- 4Check the cycle totals and card membersEach cycle is checked against the totals Amex prints. On accounts with supplementary cards, decide whether to keep spending grouped by card member. Click any row to see its line on the PDF.
- 5ExportExcel to split rows by calendar month first, then QBO with Amex’s bank ID, QFX for Quicken, or a CSV preset.

Where is your Amex data going?
Pick the destination. The advice changes with it.
Amex statement to Excel
An .xlsx with one row per charge, payment and credit: date, description, card member and a signed amount, written from your side of the card. Charges, fees and interest are negative and payments and credits positive, the reverse of how the statement prints them. The rows net to the change between Previous Balance and New Balance.
Excel is the place to split billing cycles into calendar months. Convert two consecutive statements, filter on the date column and you have exactly one month, with the card member column there for expense reports.
PDF to ExcelAmex statement to CSV
Amex’s own CSV covers two years of transactions for the dates you choose. A converted CSV follows the billing cycle exactly and reaches any statement in the seven-year archive, with the same columns every time.
Choose the date format the importer expects before you export. Amex prints MM/DD/YY; most US tools want MM/DD/YYYY, and a four-digit year avoids any 1900s confusion.
PDF to CSVAmex statement to QuickBooks
Export QBO and import it into the credit card account in QuickBooks (in QuickBooks Online, bank transactions, upload from file; in Desktop, as a Web Connect file). Amex’s own QuickBooks download covers recent activity and the past six statements, so converted QBO files fill in the older cycles in the same account.
Set the bank ID to the one on a QBO you downloaded from Amex. Each row carries a transaction ID, so a converted cycle that overlaps a downloaded one is recognised rather than doubled.
PDF to QBOAmex statement to Quicken
QFX is Quicken’s Web Connect format. Import it into the existing American Express account so older cycles join the history Quicken already holds instead of opening a new account.
QIF works too, but it carries no transaction IDs, so a cycle imported twice will duplicate. Prefer QFX for anything that overlaps the six statements Amex lets you download.
PDF to QFXAmex statement to Xero
Use the Xero CSV preset: one signed amount column and the date format Xero expects. Import it into the Amex credit card account in Xero and reconcile against the closing date of each cycle.
Spending comes out negative and payments and refunds positive, which is how Xero reads a credit card account’s statement lines. Keep the card member in the description if approvals are done by person.

Why it works
What converting an Amex statement handles
Cycle totals as the proof
Previous balance plus new charges, fees and interest, less payments and credits, must equal the new balance printed on the statement.
Card members kept apart
Supplementary card members’ transactions are listed under their own names. The grouping is kept, so spending stays attributable after export.
One row per foreign charge
Amex prints the foreign amount and rate under the converted US dollar amount. The dollar amount is the transaction; the foreign detail is merged into its description, not imported as a second row.
Calendar months from billing cycles
Every row carries its own date, so cycles that run mid-month to mid-month can be split by calendar month in Excel before import.
Checked before export
A misread digit is caught on its own row
Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.
Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

What Amex lets you download, and where it stops
American Express is more generous with downloads than most banks on this list. Your previous two years of transactions can be viewed, sorted, filtered and downloaded as PDF, Excel or CSV. Amex’s help pages also describe downloading recent activity and recent billing statements to Quicken and QuickBooks, and the Year-End Summary — a categorised list for the previous calendar year — can be downloaded in Excel, CSV, PDF, Quicken or QuickBooks formats. Quicken lists American Express among the issuers that connect through Express Web Connect+.
The limits are the two-year window and the shape of the data. A two-year transaction export does not start and end on statement dates, so it will not reproduce any cycle’s new balance without work. The Year-End Summary covers only the previous calendar year and is grouped by category rather than by statement.
Older history is in the PDF statements, which Amex archives; an archived statement takes up to 24 hours to become available after you select it. Cancelled cards, cycles from three or more years ago and statements produced by the other side in a dispute all have to come from PDFs.
- Transactions: previous two years, downloadable as PDF, Excel or CSV.
- Quicken and QuickBooks: recent activity and recent billing statements.
- Year-End Summary: previous calendar year, several formats.
- Archived PDF statements: available within 24 hours of selecting them.
Statement layout
How an Amex statement is laid out
The first page summarises the cycle — previous balance, payments and credits, new charges, fees, interest charged and new balance — alongside the closing date, the payment due date and, on charge cards such as Platinum and Gold, any Pay Over Time balance shown separately. These lines are the totals used as the check, not transactions.
The detail lists payments and credits first, then new charges, grouped by card member on accounts with supplementary cards — each card member’s name and card ending heads their own block, and dates restart within each. Dates print as MM/DD/YY. Merchant descriptions often run onto a second or third line with the merchant’s location, phone number or category; they are merged into one description per row.
Foreign transactions show the converted dollar amount on the transaction line and the foreign currency amount and exchange rate on the lines beneath. Fees, interest and year-to-date totals follow in their own boxes, which look like transaction tables and are not extracted.
Billing cycles
Billing cycles, calendar months and your books
An Amex statement commonly runs from mid-month to mid-month. That is fine if you account for the card on a statement basis and reconcile to each closing date. If your books are monthly, roughly half of each statement belongs to the previous month and half to the next.
Converting to Excel keeps every row’s own date, so you can convert two consecutive cycles, filter by calendar month and import exactly one month — or import whole cycles and reconcile to the closing date. Pick one approach before the first import of the year; switching midway leaves a gap or an overlap that has to be found by hand.
Software
Importing Amex statements into QuickBooks, Quicken and Xero
QuickBooks: export QBO with American Express’s bank ID, read from a QBO you have downloaded from Amex before or looked up as our INTU.BID guide describes. QuickBooks treats it as a credit card account, so charges increase the balance and payments reduce it. QuickBooks Desktop users who need journal-level import can use IIF on the Professional plan and above.
Quicken: QFX with the bank ID, or QIF. Xero: the Xero CSV preset, with charges and payments in one signed column. Converted transactions carry deterministic IDs, so a cycle that overlaps the two years you downloaded from Amex does not create duplicates when both are imported.
Troubleshooting
Common Amex problems and fixes
Amex conversions go wrong in a few predictable ways.
- “PDF statement not available”: the statement is archived. Select it and it becomes available within 24 hours.
- Monthly figures never match: billing cycles are not calendar months. Split rows by date in Excel, or reconcile to the cycle.
- Foreign charges appear twice: the foreign currency line was read as a second transaction. Here it is merged into the description of the dollar row.
- Dates jump backwards mid-statement: supplementary card member blocks restart their dates. Sort, or keep the grouping deliberately.
- Totals off on a charge card: Pay Over Time balances are summarised separately; check the summary block the reconciliation compared against.

Before you import
After converting an Amex statement, check these
- The cycle balancesPrevious Balance plus the rows equals New Balance on the Account Summary. If not, the dollar difference is shown.
- Payments are creditsAutopay, payments and returns are positive in the export; charges, fees and interest are negative.
- No card member totalsNo “Total for” lines and no year-to-date fee or interest totals among the transactions.
- One row per foreign chargeThe foreign spend amount and exchange rate sit in the description of the dollar row, not on a row of their own.
- Card members keptOn accounts with supplementary cards, every row still shows whose card it was, so spending can be attributed.
- One basis all yearEither reconcile to each closing date or split cycles into calendar months. Pick one before the first import and keep it.

Excel for Amex
Who uses it
Who converts Amex statements
Business expense bookkeeping
Business Platinum or Business Gold statements with several employee cards, converted with card member groups kept for labelling and approval.
Tax preparation beyond two years
An amended return or an audit needs a cycle from three years ago. The archived PDF converts like a current one.
Travel and foreign spending reviews
Foreign charges come out as single dollar rows, with the original currency kept in the description.
Family law and forensic accounting
Produced Amex statements become a ledger attributing spend to each card member, with every row traceable to the page.
FAQ
Amex statements: questions
Can you export an Amex statement to Excel?
Amex lets you download your previous two years of transactions as Excel or CSV. For cycles older than that, or rows that tie to a statement’s new balance, convert the PDF statement to Excel here.
How do I download my Amex statement as a CSV?
For the last two years, use the transaction download in your Amex account and choose CSV. For a whole statement cycle, convert the PDF and export CSV in the Xero, QuickBooks or generic layout.
Why does Amex say my PDF statement is not available?
Older statements are archived. Amex says archived statements become available online within 24 hours of selecting them.
How do I get a QBO file from American Express?
Amex describes downloading recent activity to QuickBooks. For older cycles, convert the statement and export QBO with American Express’s bank ID.
Why do my Amex figures not match my monthly reports?
The statement covers a billing cycle, not a calendar month. Split the rows by date in Excel, or keep the card on a statement basis and reconcile to each closing date.
How are supplementary cards handled?
Amex lists transactions under each card member. The grouping is kept in the output; sort by date if you want one combined list.
What about foreign currency charges?
The converted dollar amount is the transaction and is what is imported. The original currency amount and rate are kept in the description, not imported as a second row.
Does an Amex statement have a running balance?
No. Each cycle is checked against the previous balance, payments and credits, new charges, fees, interest and new balance printed on the statement.
