Capital One credit card, Spark and 360 statements

Convert Capital One statements to Excel, CSV and QuickBooks

Capital One shows two years of 360 activity and keeps seven years of statements. Converting the PDFs gets the rest into Excel or QuickBooks — card cycles checked against their totals, 360 statements against the balance.

  • Venture, Quicksilver, Savor and Spark card cycles
  • Transaction date or posting date, chosen on purpose
  • Card statements checked against the printed totals
  • 360 Checking and Savings checked against the running balance

The short answer

Can you export a Capital One statement to Excel yourself?

You can export recent Capital One activity to Excel yourself, but a Capital One statement to Excel for older cycles means converting the PDF. For 360 Checking and Savings, Capital One’s help pages say the website shows the past two years of account activity, and that statements cover up to seven years of history; for credit cards, Capital One keeps up to seven years of statements online for active accounts, and its business card pages describe downloading records into Quicken, QuickBooks and Excel.

The statement is where the history lives. Capital One’s own advice for 360 activity older than two years is to use the statements, and viewing 360 statements online requires being enrolled in paperless statements.

Most people searching this have a card statement in mind — a year of Venture or Spark spending for a tax return, an expense review or a loan file. Card statements have no running balance, so each converted cycle is checked against the totals Capital One prints: previous balance, payments and credits, transactions, fees, interest and new balance.

Watch for this

Two date columns, and the wrong one lands transactions in the wrong month

Capital One card statements print a transaction date and a posting date, and across a month boundary they disagree — a purchase on 31 January posts on 2 February. Which one belongs in your books depends on the basis you keep them on, and a converter that silently takes the first column it finds makes that decision for you. On a December statement that decision moves revenue or expenditure across a year end. Check which column was used before the first import of the year, not after. Separately, the Debit and Credit columns in card exports are both positive numbers with the sign implied by the heading; read as one column they invert every payment.

What Capital One lets you export from a credit card

The download and the QuickBooks link handle recent activity. Cycles before that, and any closed card, come from the statement PDFs.

Shown when you download

Capital One describes downloading purchase records into formats including Quicken, QuickBooks and Excel. Spark and other business cards can also link to QuickBooks and pull history back to a date you pick from a drop-down.

Where it stops: The range is not published, a closed card cannot be downloaded, and the dates you pick will not match a billing cycle.

Step by step

How to convert Capital One statements

  1. 1Download the statement PDFsSign in to capitalone.com or the Capital One Mobile app, open the card or 360 account and go to its statements. Save each cycle you need as a PDF. For 360 accounts, online statements require paperless enrolment.
  2. 2Keep card and 360 statements apartA card statement and a 360 statement are different documents with different checks. Upload them as separate batches, one account per batch.
  3. 3Upload and convertSign in to VouchRow and add the PDFs. Digital statements convert in batches; scanned paper statements are read with OCR one at a time.
  4. 4Choose the date and check the totalsDecide whether your books use the transaction date or the posting date, then read the reconciliation: card cycles against the printed totals, 360 statements against the running balance. Click any row to see its line on the PDF.
  5. 5ExportCSV to review signs and dates first, then QBO for QuickBooks (with Capital One’s bank ID), QFX for Quicken, or the Xero CSV preset.

Capital One statement to Excel

An .xlsx with one row per transaction and both dates kept: purchases, fees and interest negative, payments and credits positive, from your side of the card. Capital One prints them the other way round. The rows net to the change from the previous balance to the new balance.

A 360 Checking statement gives the usual bank view instead: deposits positive, withdrawals negative, checked against the running balance on every row. Upload card and 360 statements as separate batches.

Why it works

Built for Capital One’s two statement families

Payments signed as payments

Purchases come out negative and payments and credits positive, from your side of the card, in one signed column — never inverted by a separate Debit and Credit pair.

A deliberate date column

Card statements print a transaction date and a posting date. The conversion keeps them distinct so a month-end or year-end purchase lands where your accounting basis puts it.

Totals as the proof

With no running balance on a card, the rows must reproduce the previous balance, payments, transactions, fees, interest and new balance.

Fees and interest kept separate

Fees and interest charged sit in their own block on a Capital One card statement and come out as their own rows, ready to label as finance charges.

360 balance proved row by row

360 Checking and Savings statements carry a running balance, so every row is checked against it.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

What Capital One lets you download, and where it stops

For 360 Checking and Savings, Capital One’s transaction history shows the past two years of activity on the website; anything earlier is in the statements, which cover up to seven years. Viewing those statements online requires paperless enrolment, so if you have been receiving paper, the older months may only exist on paper — scan them and they convert too.

For credit cards, Capital One keeps up to seven years of statements online for active accounts. Its business card pages describe downloading account records into Quicken, QuickBooks and Excel, and Capital One’s QuickBooks guide describes two routes for Spark cards: link the card to QuickBooks and choose how far back to pull history from a drop-down, or download transactions manually and upload them. The range available for a manual card download is shown when you choose it; Capital One does not publish a fixed figure on its public pages, so check before relying on a full year.

Neither route covers a closed card, and neither produces rows that start and end on the statement dates. Capital One’s seven-year card figure applies to active accounts, which is a reason to save statements before closing a card.

  • 360 activity on the website: past two years.
  • 360 and card statements online: up to seven years for active accounts.
  • Spark cards: link to QuickBooks, or download manually and upload.

Statement layout

How a Capital One credit card statement is laid out

The first page summarises the cycle: previous balance, payments, other credits, transactions, cash advances, fees charged, interest charged and new balance, with the billing period, the minimum payment and the due date. Those are the totals the extracted rows must add back up to — they are not transactions themselves.

Transactions follow, grouped as payments, credits and adjustments, then transactions, with a transaction date and a posting date for each row. On accounts with authorised users, transactions are listed under each cardholder’s name. Fees and interest charged come in separate blocks after the transactions, followed by year-to-date totals of fees and interest — another summary box that looks like a transaction list and is not extracted.

Dates print as month and day. The year comes from the billing period, so on a statement that opens in December and closes in January each row is placed in the right year.

360 accounts

Capital One 360 Checking and Savings statements

360 statements are bank statements in the ordinary sense: an opening balance, a list of transactions in date order with a running balance, and a closing balance. Interest paid appears as its own line on savings statements. Each row is checked against the running balance, and opening plus movement must equal closing.

Transfers between a 360 Checking account and a 360 Savings account appear on both statements. Convert and import each into its own bank account in your books so the transfers match rather than counting twice. Do not expect a conversion set up around card statements to behave the same on a 360 statement — or the reverse.

Software

Importing Capital One statements into QuickBooks, Quicken and Xero

QuickBooks: export QBO and enter Capital One’s bank ID; take it from a QBO Capital One issued for the same kind of account where you can, since card and banking products are not guaranteed to share one. If you link a Spark card to QuickBooks for recent history, a converted QBO for older cycles fills in behind it, and deterministic transaction IDs stop re-imports from duplicating.

Quicken: QFX with the bank ID, or QIF. Xero: the Xero CSV preset, with one signed amount column. Whichever you use, settle the date question before the first import of the year — switching between transaction and posting date mid-year leaves a purchase in two months or in none.

Troubleshooting

Common Capital One problems and fixes

Capital One errors are mostly about signs and dates.

  • Payments came through as charges: separate Debit and Credit columns of positive numbers were read as one column. Converted output uses one signed column.
  • A purchase is in the wrong month: transaction date versus posting date across a month end. Pick one basis and keep it.
  • Cannot see old 360 statements online: online statements require paperless enrolment. Scan any paper statements and convert them.
  • Closed card, no statements online: the seven-year figure applies to active accounts. Convert the PDFs you saved before closing.
  • Card totals do not reconcile: compare the transactions total with the summary; fees and interest are separate rows and must be included.

Before you import

After converting a Capital One statement, check these

  • The cycle balancesPrevious balance plus the rows equals the new balance on the Account Summary. If not, the dollar difference is shown.
  • One date basisEvery row uses the transaction date or every row uses the posting date. Check the month-end rows first.
  • Payments are creditsYour payment and any returns are positive in the export and purchases negative.
  • Every cardholder includedEach authorized user’s block is in the file, and together they equal Transactions on the Account Summary.
  • No total or year-to-date rowsTotal Transactions for This Period and the year-to-date fee and interest totals do not appear as transactions.
  • Card and 360 kept apartCard cycles went into the card account and 360 statements into their own bank accounts, each checked its own way.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

CSV for Capital One

CSV lets you see which date column and which sign convention came through before the rows reach your ledger — worth it on the first statement, at least.

FAQ

Capital One statements: questions

How do I export a Capital One credit card statement to Excel?

Save the statement PDF from your Capital One account and convert it to Excel here. Each cycle is checked against the printed totals, and the export has one signed column: purchases negative, payments and credits positive.

Can I download Capital One statements to Excel directly?

Statements are PDFs. Capital One describes downloading card records into Quicken, QuickBooks and Excel for business cards, and 360 activity is shown for two years online; for statement periods, convert the PDF.

How far back can I get Capital One statements?

Up to seven years online for active accounts, for both credit cards and 360 accounts. 360 statements online require paperless enrolment.

How far back does Capital One 360 transaction history go?

Capital One says the website shows the past two years of account activity, and that statements cover up to seven years.

Which date should I use, transaction or posting?

Whichever matches how you keep the books — but use the same one every month. Mixing them produces a reconciliation that never quite agrees.

My payments came through as charges. Why?

Separate Debit and Credit columns of positive numbers, read as a single amount column. The sign is in the heading, not the number. Converted output writes one signed column.

Is a 360 statement different from a card statement?

Yes. A 360 statement has a running balance and is checked row by row; a card statement has none and is checked against its totals. Convert them as separate batches.

Can I connect a Capital One card to QuickBooks instead?

Capital One describes linking business cards to QuickBooks and choosing how far back to pull history. For cycles outside that range, a converted QBO with Capital One’s bank ID fills the gap without duplicates.
