Convert a Wells Fargo credit card statement to Excel, CSV or QuickBooks

Wells Fargo’s card download covers 90 days or 300 transactions. Card statements stay online for two years. Convert the PDFs to get any cycle into Excel, CSV or QuickBooks, checked against the totals Wells Fargo prints.

  • Credits and Charges columns read as one signed amount
  • Past the 90-day, 300-transaction download
  • Every cycle checked against the summary
  • Fees and interest kept as their own rows

The short answer

Can you export a Wells Fargo credit card statement to Excel?

Only a short stretch of it. Wells Fargo’s Download Account Activity offers a Comma Delimited (ASCII, Spreadsheet) file or a Quicken Web Connect file, but its own FAQ says credit card account histories are available for up to 90 days or 300 transactions. That covers about one cycle on a busy card and three on a quiet one.

The statements last longer. Wells Fargo keeps credit card statements online for up to two years in Statements & Documents. That is shorter than the seven years it keeps for deposit accounts, which is why “wells fargo credit card statements older than 2 years” is such a common search: older card statements have to be requested, and Wells Fargo’s FAQ says to contact it for copies.

Converting the PDF statements is how a full tax year, or any cycle you saved, gets into Excel, CSV or QuickBooks. A card statement has no running balance, so each converted cycle is checked against the summary instead: previous balance, minus payments and other credits, plus purchases, fees and interest, must equal the new balance.

Watch for this

Credits and Charges are separate columns, and nothing carries a sign

A Wells Fargo card statement does not use one signed amount column. Each transaction row has a Trans date, a Post date, a Reference Number, a Description and then two amount columns, Credits and Charges, and the amount sits in one or the other with no minus sign. Lose the column position (which is easy when the text is pulled from the PDF without its layout) and a $2,046.33 payment reads exactly like a $2,046.33 purchase. A converter has to keep track of which column each figure came from, and the cycle check against the summary is what proves it did: one payment read as a charge throws the cycle off by twice the payment.

Step by step

How to convert a Wells Fargo credit card statement

  1. 1Save the statements from Statements & DocumentsSign in to Wells Fargo Online, open Statements & Documents, choose the card and save each statement as a PDF. Wells Fargo lists card statements for up to two years.
  2. 2Save them before they age outA statement drops off after two years. If you will need a cycle for taxes or a dispute later, save the PDF now; older copies have to be requested from Wells Fargo.
  3. 3Upload and convertSign in to VouchRow and add the PDFs, one card account per batch. Digital statements convert in batches. A scanned paper statement is read with OCR, one at a time. A password-protected PDF is unlocked in your browser; the password is never sent.
  4. 4Check each cycle against the summaryThe rows must add back to the new balance. If they do, the cycle shows as balanced. If not, VouchRow shows the difference in dollars, and clicking any row shows its line on the PDF.
  5. 5ExportExcel or CSV to review, QBO for a QuickBooks credit card account, QFX for Quicken, or the Xero CSV preset.

An .xlsx with one row per transaction and one signed amount in place of the Credits and Charges columns. The export is written from your side of the card: purchases, fees and interest negative, payments and credits positive.

Convert a year of statements in one batch and you get one file per statement. Sort by date and the cycles run end to end, because each starts where the last new balance closed.

Why it works

Built around how Wells Fargo prints a card statement

Credits and Charges, kept apart

Each amount is read with the column it sits in, so payments and returns become credits and purchases become charges, without relying on a sign that is not there.

The summary is the proof

Previous balance, payments, other credits, purchases, fees, interest and new balance are read as the cycle’s totals and kept out of the transaction list.

Reference numbers stay references

The long Reference Number between the dates and the description is kept as an identifier, not merged into the merchant name or read as an amount.

The right year on every row

Rows print MM/DD. The year comes from the Statement Closing Date, so a December to January cycle puts each row in the right year.

Every row traced to its line

Click a row and the PDF opens at the line it came from, which settles any Credits-or-Charges question in a second.

Older than the download

Two years of statements, or older ones you saved or requested, convert the same way. The 90-day download is no longer the limit.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Layout

How a Wells Fargo credit card statement is laid out

Page one carries the account details (Statement Closing Date, Days in Billing Cycle, Next Statement Date, credit line and available credit), the payment information (new balance, minimum payment and due date) and the account summary: previous balance, payments, other credits, purchases and other charges, cash advances, fees and interest, and the new balance. None of these are transactions.

The transaction table has six columns: Trans (the transaction date), Post (the posting date), Reference Number, Description, Credits and Charges. Payments and other credits sit in the Credits column and purchases in the Charges column, with no minus signs. Fees and interest charged follow, each with a total for the period and for the year to date.

An interest charge calculation table closes the statement: each type of balance with its annual interest rate and the balance subject to interest. Those figures are rates and averages, not activity, and are left out of the rows.

Older statements

Wells Fargo credit card statements older than 2 years

Wells Fargo’s statement FAQ gives the retention by product: up to two years online for credit cards (and for home equity lines and personal loans), against up to seven years for deposit accounts. For anything older, the FAQ says to contact Wells Fargo for copies of statements and documents. It does not say how far back card copies can be produced, so ask when you call.

There is no year-end summary to fall back on in the download, which stops at 90 days. If you need a full year of card spending, the statements are the source, and converting twelve of them gives you twelve checked cycles that sort into one year.

Business cards

Wells Fargo business card statements

Wells Fargo business card statements follow the same pattern with business labels. On the Signify Business Essential card, for example, the Account Summary reads Previous Balance, Credits, Payments, Purchases & Other Charges, Cash Advances, Finance Charges and New Balance, and the Transaction Details table uses Trans, Post, Reference Number, Description, Credits and Charges.

Business statements can carry lines that look like activity but move a balance instead, such as “LAST STATEMENT BAL FROM ACCT ENDING …” when a lost or stolen card is replaced. They are real lines on the statement, so they are kept, and the cycle check shows whether the summary counts them. Wells Fargo Business Online also offers QuickBooks Web Connect downloads for recent activity; older cycles come from the statements.

Software

Wells Fargo cards in Quicken and QuickBooks

On personal accounts, Wells Fargo’s download offers two outputs: Comma Delimited for a spreadsheet and Quicken Web Connect. Both stop at the card’s 90-day or 300-transaction history. Wells Fargo’s comma-delimited file also has no header row, which importers tend to read as a missing first transaction (the main Wells Fargo page covers this).

For QuickBooks, export QBO from the converted statement and import it into the credit card account. For Quicken, export QFX. Rows carry transaction IDs, so a converted cycle that overlaps a Web Connect download is recognised rather than duplicated.

Troubleshooting

Common Wells Fargo card conversion problems

Most Wells Fargo card errors come from the two amount columns and the short windows.

  • Payments show as purchases: the Credits and Charges columns were merged into one unsigned amount. Each figure has to keep its column.
  • The cycle is off by twice a payment: one credit was read as a charge. The summary check shows the exact difference.
  • Merchant names start with a long code: the Reference Number was read into the description. It is its own column.
  • Download stops at 90 days or 300 transactions: that is Wells Fargo’s card history limit. Convert the statements for anything older.
  • A statement from three years ago is missing: card statements stay online for up to two years. Contact Wells Fargo for older copies.
  • Comma-delimited import is one row short: the bank’s file has no header row. A converted CSV has one.

Before you import

After converting a Wells Fargo card statement, check these

  • The cycle balancesPrevious balance plus the rows equals the new balance on the summary. If not, the difference is shown.
  • Credits stayed creditsEvery figure from the Credits column (payments and returns) is positive in the export, not a charge.
  • Clean descriptionsMerchant names do not start with the Reference Number, and no reference ended up in the amount.
  • Dates in the right yearOn a December to January cycle, December rows are in the old year and January rows in the new one.
  • Fees and interest presentAnnual, late and foreign transaction fees and any interest charged appear as rows when the summary shows them.
  • One date basis all yearWells Fargo prints a Trans and a Post date. Use the same one for every cycle.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

QBO for Wells Fargo card

Wells Fargo’s card download only reaches 90 days, so a QBO converted from the statements is how a full year of card cycles gets into the QuickBooks credit card account.

Who uses it

Who converts Wells Fargo credit card statements

01

A tax year on Active Cash or Autograph

Twelve statements converted in one batch, because the 90-day download cannot cover a year.

02

Business card bookkeeping

Signify and other business card cycles converted to QBO for the QuickBooks credit card account, with fees and interest as their own rows.

03

Balance transfers on Reflect

Cycles from a promotional period converted and checked, so the transferred balance, payments and any interest line up month by month.

04

Disputes and legal files

Statements saved before they aged out of the two-year window, each converted row linked to its line on the Wells Fargo PDF.
