U.S. Bank personal, business and card statements

Convert U.S. Bank statements to Excel, CSV and QuickBooks

U.S. Bank downloads 18 months of transactions as CSV, QFX or QBO. Its e-statements go back up to seven years. Converting the PDFs covers the years in between.

  • History beyond the 18-month download window
  • Daily balance summary used as a check, never as rows
  • Page-break subtotals recognised on long business statements
  • CSV, QBO, QFX and Excel from the statement

The short answer

Can you export U.S. Bank statements to Excel yourself?

You can export U.S. Bank transactions to Excel yourself for the last 18 months; for a U.S. Bank statement to Excel beyond that, you convert the PDF. U.S. Bank’s own help pages say online banking downloads up to 18 months of transaction history as Spreadsheet (.CSV), Quicken (.QFX) or QuickBooks (.QBO) — and that downloads are not available in the mobile app, so this is a desktop job.

E-statements are kept much longer: up to seven years, as PDFs inside digital banking. U.S. Bank’s own advice for anything older than 18 months is to use statements. That is the gap converting fills — catch-up work, prior tax years, a loan file — with each statement checked against the balances U.S. Bank prints.

Converting is also the answer when the download technically covers the period but you need the figures to tie to a statement: an 18-month CSV export starts and ends where you clicked, not on a statement date, so its first and last balances rarely match anything printed.

Watch for this

The daily balance summary looks exactly like a transaction table

After the transactions, U.S. Bank prints a summary of the closing balance for each day — a two-column table of dates and amounts. It has the shape of a transaction list and sits on the same pages, so a converter reading every table on the page picks it up and appends a second set of rows. The result is a statement whose transaction count is far too high and whose totals are meaningless, and because the dates and amounts are all genuine it does not look like corrupted data. The summary has to be recognised as a summary. On long business statements it is easily half the extracted rows.

Transaction download in online banking

Up to 18 months

On the account’s Transactions tile, the download icon offers Spreadsheet (.CSV), Quicken (.QFX) or QuickBooks (.qbo) for a date range you choose. Web Connect into Quicken is at no extra cost; Direct Connect with bill pay is $3.95 a month.

Where it stops: Desktop online banking only, nothing older than 18 months, and the range you pick will not start and end on a statement date.

Step by step

How to convert U.S. Bank statements

  1. 1Find the e-statementIn online banking, statements are reached from the Accounts menu; in the U.S. Bank Mobile App, choose Statements & docs from the main menu. Pick the document type and the account, change the year to see older statements, and open or download the PDF.
  2. 2Save each statement for the periodKeep the PDFs as issued. If you have paper statements from before you went paperless, scan them; scans are read with OCR one at a time.
  3. 3Upload to VouchRowSign in and add the PDFs. Digital statements convert in batches, so a year of a 12-page business statement goes in at once — and only pages with transactions count against your allowance.
  4. 4Check the proofEach statement is checked row by row against its running balance, page by page against its subtotals, and overall against the opening and closing balances. Click a row to see its line on the PDF.
  5. 5ExportQBO for QuickBooks with U.S. Bank’s bank ID, QFX for Quicken, a CSV preset, or Excel.

U.S. Bank statement to Excel

An .xlsx with one row per deposit, withdrawal and check: date, description, reference number, check number where there is one, and a signed amount. Every trailing-minus amount comes out negative, so the column sums to the change between Beginning and Ending Balance.

Add a running total from the Beginning Balance and its value at the end of each date will match the Balance Summary, which is the quickest way to show a reviewer a 12-page business statement is complete.

Page structureColumn headers repeat on every page, and a subtotal is carried across page breaks
Daily balance summaryA separate table of closing balances by date, after the transactions

Why it works

Built for long U.S. Bank statements

Only real transactions extracted

The daily balance summary after the transactions is recognised as a summary and used to check the rows, not appended as a second set of them.

Page subtotals checked, not counted

Subtotals carried across page breaks are compared with the rows on each page, so a dropped line is located to the page it fell from.

Only transaction pages count

Cover pages, notices and disclosures at the back of a long statement are not billed against your plan.

Older than 18 months

Up to seven years of e-statements online, plus any saved or scanned copies, convert the same way.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

U.S. Bank’s download and statement archive

U.S. Bank is clear about its download: up to 18 months of transaction history, in CSV, QFX or QBO, from the download icon on the account’s transactions view in online banking. Viewing is limited too — 18 months online and six months in the mobile app — and the bank points you to statements for anything older.

E-statements are kept for up to seven years, and the rules vary by product: credit card statements build up over time to seven years, mortgage statements are kept for up to two years, and consumer loan and HELOC statements for up to seven. Business checking and savings use the same online download for recent activity.

For Quicken, U.S. Bank offers Web Connect without a fee and Direct Connect with bill pay for a monthly fee; Quicken’s support pages also describe a move to Express Web Connect+ for accounts that used Express Web Connect. For QuickBooks Online, the business pages describe connecting from inside QuickBooks or exporting manually.

  • Activity download: up to 18 months, CSV / QFX / QBO, desktop online banking only.
  • E-statements: up to seven years; mortgage up to two years; cards build up to seven.
  • Older than 18 months: U.S. Bank directs you to statements.

Statement layout

How a U.S. Bank checking statement is laid out

Personal statements such as Easy Checking are short; Silver, Gold and Platinum Business Checking statements commonly run to many pages. The first page carries an account summary of beginning balance, deposits, withdrawals and ending balance — totals that look like rows and are used as the check.

Transactions are printed in sections, such as customer deposits, other deposits, card withdrawals, other withdrawals and checks, each with one Amount column; money out carries a trailing minus (2,100.00-). Column headers repeat on each page and a subtotal is carried across page breaks. Dates appear as month and day (Aug 4), with the year taken from the statement period; a statement period that spans December and January has its rows assigned to the correct year.

After the transactions comes a balance summary: closing balances by date, in a two-column date-and-amount table. It is valuable as a check — the running balance at the end of each date must match it — and harmful if extracted, because every line looks like a genuine transaction. On a long business statement it can be as long as the transaction list.

Credit cards

U.S. Bank credit card statements

Altitude, Cash+ and business card statements have no running balance. They are checked against the summary — previous balance, payments and credits, purchases, fees, interest and new balance — and the year on each row comes from the billing period.

Card statements build up to seven years online, while transaction downloads cover recent history only — check the range online banking offers for the card. Business card programmes on U.S. Bank’s Spend Management platform have their own QuickBooks Online integration, which U.S. Bank updated in 2026; for history outside what that integration brings in, the statements are the source.

Software

Importing U.S. Bank statements into QuickBooks, Quicken and Xero

QuickBooks: U.S. Bank already issues QBO for the last 18 months, so the clean approach for catch-up work is to use the bank’s QBO for recent months and a converted QBO for older ones. Enter the same bank ID U.S. Bank’s own QBO files carry, and both sets land in the same bank account in QuickBooks. Deterministic transaction IDs keep the converted file from duplicating rows on re-import.

Quicken: export QFX with the bank ID, or QIF. Xero: use the Xero CSV preset. QuickBooks Desktop users who need journal-level import can use IIF on the Professional plan and above.

Troubleshooting

Common U.S. Bank conversion problems

Most U.S. Bank problems come from length.

  • Far more rows than the statement: the balance summary was extracted as transactions. Here it is used only as a check.
  • Total drifts further off with every page: a carried-forward subtotal was counted as a transaction. Page subtotals are recognised and checked instead.
  • Download button missing on your phone: transaction downloads are not available in the mobile app; use online banking on a computer.
  • Need more than 18 months: convert the e-statements, which go back up to seven years.
  • Overlap between the bank’s QBO and a converted QBO: use the same bank ID and import; matching IDs and QuickBooks’ own matching handle the overlap.

Before you import

After converting a U.S. Bank statement, check these

  • The statement balancesBeginning Balance plus deposits minus withdrawals and checks equals the Ending Balance. If not, the dollar difference is shown.
  • Trailing minus read as money outEvery amount printed with a minus after it is negative in the export, and deposits are positive.
  • No Balance Summary rowsNothing from the date and ending-balance table appears among the transactions, and the row count is close to the statement’s.
  • No page or section totalsNo “Total Customer Deposits”, “Total Other Withdrawals” or checks-paid count lines among the rows.
  • Clean check numbersOne row per check, with no asterisk left in the check number.
  • Dates in the right yearOn a December to January statement, December rows are in the old year and January rows in the new one.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.

For a long business statement, the banking feed’s duplicate matching is worth more than it is on a short one — there is more to go wrong and more to catch.

Catch-up on business checking

Two or three years of long business statements, converted in batches and checked page by page before they reach QuickBooks.

02

Deposits from several months of statements in a spreadsheet that ties to the closing balances by date.

FAQ

U.S. Bank statements: questions

Can you export U.S. Bank statements to Excel?

Transactions, yes: online banking downloads up to 18 months as CSV, which Excel opens. Statements themselves are PDFs; convert them here to Excel for anything older or for figures that tie to a statement.

How far back can I download U.S. Bank transactions?

Up to 18 months, from online banking on a computer. U.S. Bank says downloads are not available in the mobile app, and that statements are the route for older history.

How long does U.S. Bank keep e-statements?

Up to seven years for most accounts. Mortgage statements are kept for up to two years, and credit card statements build up over time to seven years.

Does U.S. Bank offer QBO and QFX downloads?

Yes, for the last 18 months: CSV, QFX and QBO are the download formats. For older periods, convert the statements and export QBO or QFX with U.S. Bank’s bank ID.

My conversion has far more rows than the statement. Why?

Almost certainly the balance summary of closing balances by date was read as transactions. It is used here only to check the running balance.

Do subtotals across page breaks get counted?

No. They are recognised as subtotals and compared with the rows on the page, so they catch errors instead of creating them.

The statement is 14 pages. Does that cost more?

Only pages carrying transactions count against your allowance. Cover pages, notices and disclosures do not.
