The short answer

How small businesses get bank statements into their books

A bank statement converter for small business takes the PDF statements from your bank or card provider and turns them into a file your accounting software can import, such as QBO for QuickBooks, a CSV for Xero or Wave, or a spreadsheet. You upload the PDFs, check anything flagged, and import the file instead of typing transactions in one by one.

Owners usually need this for one of a few reasons. The bank feed only reaches back so far and you started your books late. A card or account was never connected. The feed broke for a few months and nobody noticed. Or it is tax time and the accountant wants a year of transactions in a spreadsheet.

The obvious shortcuts do not work well. Copying from a PDF jumbles dates, descriptions and amounts. Generic PDF-to-Excel tools produce something that looks right but may have lost a row at a page break. VouchRow checks each statement against the balances your bank printed and tells you which row to look at if something does not add up.

The job

The bank feed does not reach back far enough, or the account is not connected, or it is a card the software never linked. So the statements sit as PDFs and the transactions have to get into your accounting software somehow — usually the evening before something is due.

Why the obvious routes do not work

Copying and pasting from a PDF produces a column of text where the amounts and dates have run together, because a PDF has no table, only text placed at coordinates that happen to look like one. Generic PDF-to-Excel converters do slightly better and lose the structure that matters — which column was the amount, which line continued the one above it. And retyping a forty-row statement takes an hour and introduces its own errors, quietly.

Step by step

Getting your statements into your software

  1. 1Download the statements from online bankingPDFs downloaded from your bank’s website convert best and can be uploaded together. Paper statements can be scanned and converted one at a time. If a PDF is password-protected, enter its password when asked; it is used in your browser only.
  2. 2Upload and let the checks runEach statement is converted and checked against its opening and closing balances, running balance and printed totals.
  3. 3Look at anything flaggedIf a row does not add up, it is highlighted. Click it to see the line on the original statement and fix it if needed.
  4. 4Download the format your software usesQBO or the QuickBooks CSV for QuickBooks Online, the Xero CSV preset for Xero, CSV for Wave, FreshBooks or Zoho Books, QFX for Quicken, or Excel.
  5. 5Import, oldest statement firstImport into your software starting with the earliest month. If you import the same file again by mistake, the transaction IDs stay the same, so software that checks them will not double up.

What helps

What this does about it

It knows what a bank statement is

Not a general table extractor. It works out which column is the amount, which lines are a wrapped description belonging to the row above, and which are a carried-forward balance that is not a transaction at all — the things that make a statement different from a table.

It tells you if something is wrong

Every conversion is checked against the statement’s own balances. If a row was missed or a number misread, you are told which row, rather than finding out when your accounts do not agree.

The format your software wants

QuickBooks, Xero, Sage, Wave, FreshBooks and the rest each want something different, and the software pages say which. Same conversion, right file.

Priced for occasional catch-up

Plans start at a few hundred pages a month, only pages with transactions are counted, and there is no cap on how long a single statement can be — which matters, because a business statement is routinely longer than the fifteen-page per-document limit some tools impose.

Why it works

Why owners use it instead of typing

Hours back

A month of transactions becomes a file in the time it takes to upload and check the flagged rows.

You know when something is wrong

Every statement is checked against your bank’s balances, and a problem is pointed out at the row.

Works with your software

QuickBooks, Xero, Wave, FreshBooks, Zoho Books, Sage, MYOB, Quicken or a spreadsheet.

Card statements too

Business credit card statements convert the same way, using the statement totals as the check.

Your statements stay private

Downloaded statements are read in your browser. Scanned pages are discarded after processing. Nothing is used to train models.

Group transactions for tax

Select rows and label them in one go, such as personal spending or equipment, before exporting a spreadsheet for your accountant.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Every row agrees with the balance printed beside it.

Catch-up

Catching up when the books are behind

Most owners do not set out to fall behind. The business gets busy, the books wait, and suddenly it is several months later and the bank feed no longer reaches the start of the gap. The transactions still exist, on your PDF statements.

Download every statement for the missing period, convert them together, and check that each month’s opening balance matches the previous month’s closing balance. If one does not, a statement is probably missing. Then import into your software oldest first, so its balance builds in the right order.

If you only need part of a statement because the feed already covers the rest, delete the overlapping days in your software’s import screen or import the whole file and let the software’s matching handle it. Consistent transaction IDs help software that checks them avoid duplicates.

  • Download the PDFs for every month you are missing
  • Convert them together and check each one reconciles
  • Make sure the months chain from one to the next
  • Import the oldest month first

Missed by the feed

Statements the bank feed never pulled

Bank feeds are convenient until they are not. Some accounts cannot be connected, some disconnect without warning, some business credit cards are never offered as a feed, and accounts that have been closed stop feeding altogether. In each case, the statement PDF is the only complete record.

Credit card statements often have no running balance column. VouchRow then checks the transactions against the totals the statement prints, such as payments, purchases and the new balance, and tells you which checks it could run.

Tax time

Getting ready for tax time

At tax time, your accountant or tax preparer usually wants the year’s transactions in a form they can work with, and a spreadsheet is the most common request. Converting your statements to Excel gives them every transaction with the bank’s balances checked, plus a Reconciliation sheet that shows the totals agree.

If some transactions are personal or need a note, select them and add a label before exporting. Labelling is manual: you choose the rows, so nothing is guessed. What counts as deductible, and how anything should be treated, is a question for your accountant.

Keep your original PDF statements as well. They are the bank’s record; the spreadsheet is a working copy of it.

Why not copy and paste

Why copying from the PDF goes wrong

A PDF does not contain a table, only text placed on a page. Copying it gives you dates, descriptions and amounts run together, page headers in the middle of transactions, and long descriptions split across two lines that turn into two rows. Fixing that by hand often takes longer than typing.

VouchRow understands statement layouts: which column is the amount, which lines belong to the description above, which line is a balance brought forward rather than a transaction. Then it checks the result against the balances on the statement.

Cost

What it costs

Plans are priced by pages with transactions on them; cover pages and terms do not count. Starter is $15 a month for 300 pages. Professional is $39 for 900 pages and adds IIF for QuickBooks Desktop and Tally XML. Annual billing charges ten months for twelve.

If a catch-up month runs over, a page pack from $0.06 a page tops you up straight away, and its pages never expire.

What this is not

It is not accounting software and not advice

It converts statements. It does not do your books, file anything, or tell you what a transaction should be posted to. If you are not sure how something should be treated, that is a question for an accountant, and a cheap converter is not a substitute for one.

Who uses it

Common situations

01

Starting QuickBooks halfway through the year

The feed only reaches back part of the way. Convert the earlier months’ statements to QBO and import them before the feed’s first day.

02

A business credit card with no feed

Convert each month’s card statement and import into the card account in Xero or QuickBooks.

03

Year-end pack for the accountant

Convert the year to Excel, label personal items, and send the file with its Reconciliation sheet and the original PDFs.

04

A closed account

Online access to an old account may be limited, but its PDF statements still convert to whatever your software imports.

FAQ

For small business owners: questions

Can I import a PDF bank statement into QuickBooks?

Not directly as a PDF. Convert it to QBO or the QuickBooks CSV first, then import that file. QuickBooks Desktop users can use IIF on the Professional plan and above.

Can I use bank statements for my taxes?

Your statements are the bank’s record of what moved in and out, and many accountants ask for them. Whether they are enough for a particular purpose is a question for your accountant or tax adviser. Converting them to Excel makes them easier to work with.

How do I organise bank statements for taxes?

Download a year of PDFs per account, convert them to Excel, label rows that need a note (for example, personal spending), and keep the original PDFs alongside the spreadsheet.

Does it categorise my transactions automatically?

No. You can label selected rows in bulk. Categories for your books are best set in your accounting software, using its rules.

Do I need an account?

Yes. Uploading statements requires an account, and plans start at $15 a month.

Is it safe to upload my bank statements?

Statements downloaded from online banking are read in your browser. Scanned pages are sent for OCR for that one request and then discarded. You choose how long anything is kept, from 30 days down to nothing, and nothing is used to train models.

Does it work with my bank?

It reads PDF statements from any bank, digital or scanned. The bank pages here cover layouts with particular quirks. Password-protected PDFs work too: you enter the password, and it never leaves your browser.

What if I import a statement twice?

Each transaction gets the same ID every time it is converted, so software that checks IDs, such as QuickBooks with QBO files, will recognise it already has those rows.
