The short answer

Can you export a KeyBank statement to Excel?

Not as a statement. KeyBank lets you import transactions into Quicken or QuickBooks with Web Connect or Quicken File eXchange (QFX), or link Quicken through Express Web Connect, but the statement itself comes as a PDF. KeyBank does not publish how far back its transaction download reaches. To get a full statement into Excel, save the PDF and convert it: you get an .xlsx or CSV that matches the statement period, with every row signed.

KeyBank keeps up to seven years of statements in online banking, for checking, savings, loans and lines of credit, trust and credit card accounts, and its Document Hub adds two years of tax documents. Commercial clients on KeyNavigator see 24 months of Corporate Banking Statements, downloadable as PDF or ZIP.

KeyBank statements we have seen carry no running balance on the rows, so a converted KeyBank statement is checked against the summary instead: the beginning balance, plus Additions, minus Subtractions, minus Net fees and charges, must equal the ending balance, and the number of rows in each group must match the count KeyBank prints.

Watch for this

The sign is the group, and fees sit outside the Subtractions count

On the KeyBank statements we have seen, the summary reads like a sum: “Beginning balance”, then “3 Additions +6,150.00”, “5 Subtractions −4,236.40”, “Net fees and charges −6.50”, then “Ending balance”. Below it, the activity is grouped the same way: Additions, holding the Deposits block, and Subtractions, holding Paper Checks and Withdrawals, with every amount printed without a sign. Lose the group heading and withdrawals become deposits. Fees and charges are reported on their own line, apart from the Subtractions count, so a converter that adds the fee rows into Subtractions finds one item too many, and one that skips them misses the fee. The converted file signs each row from its group, keeps fees as their own rows, and checks the counts and totals against the summary.

What KeyBank lets you export

Each route has a job. Converting the statement is for periods the download does not reach and for files that must match a statement.

QFXWeb Connect

Quicken and QuickBooks downloads

Depth not published

Import KeyBank transactions with Web Connect or Quicken File eXchange, or link Quicken with Express Web Connect when 3rd Party Access is enabled. KeyNavigator reports also export as CSV, TXT, XLS, PDF, QBO and OFX.

Where it stops: KeyBank does not publish how far back the download goes, and the dates you pick will not match a statement period.

One PDF per statement, with the summary, the Additions and Subtractions blocks and the fees.

Step by step

How to convert a KeyBank statement

  1. 1Save the statements from KeyBank online bankingSign in to KeyBank online banking and open the Document Hub, where statements and tax documents are kept. Save each period you need as a PDF. KeyNavigator users download Corporate Banking Statements as PDF, or several at once as a ZIP.
  2. 2One account per batchKeep each account’s statements together, and business apart from personal, so each set lands in the right account in your software.
  3. 3Upload and convertSign in to VouchRow and add the PDFs. Digital statements convert in batches. A scanned paper statement is read with OCR, one at a time. A password-protected PDF is unlocked in your browser; the password is never sent.
  4. 4Check against the summaryAdditions, Subtractions and fees must reconcile from the beginning balance to the ending balance, with the item counts matching. If not, VouchRow shows the dollar difference, and clicking any row shows its line on the PDF.
  5. 5ExportExcel or CSV to review, QBO for QuickBooks, QFX or QIF for Quicken, or the Xero CSV preset.

KeyBank statement to Excel

An .xlsx with one row per deposit, check, withdrawal and fee: date with the year added, description, check number where there is one, and a signed amount. Additions come out positive and Subtractions and fees negative, so the column sums to the change between beginning and ending balance.

Add a running total from the beginning balance and the last line equals KeyBank’s ending balance, which is the quickest way to show a reviewer the period is complete.

Why it works

Built around how KeyBank prints a statement

Signs from the groups

Everything under Additions comes out as money in, and everything under Subtractions as money out, even though the rows print without signs.

Fees kept apart

Net fees and charges is its own summary line. Fee rows come through as their own transactions and are checked against that line, not against Subtractions.

Counts as well as totals

The summary prints how many Additions and Subtractions there were. The converted rows must match both the count and the dollar total.

One row per paper check

Each paper check becomes its own row, with the check number kept for matching to bills.

The right year

Rows show month and day only. The year comes from the beginning and ending balance dates, so a December to January period stays in order.

Seven years, any period

Any statement from KeyBank’s seven-year archive converts the same way, including accounts you have since closed if you saved the PDFs.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Layout

What a KeyBank statement looks like

KeyBank does not publish an annotated sample statement, so this is from the KeyBank statements we have seen. Page one opens with the account name and a short summary that reads like a sum: Beginning balance with its date, then the number of Additions and their total with a plus sign, the number of Subtractions and their total with a minus sign, Net fees and charges, and the Ending balance with its date. The dates on those lines use hyphens (9-30-26).

The activity follows in the same groups. Additions holds the Deposits block, with a date and amount for each deposit. Subtractions holds Paper Checks, listed by check number, date and amount, and Withdrawals, listed by date, description and amount. Fees and charges follow on their own. The amounts in each block print without a sign; the group they sit in is the sign.

There is no balance after each row. The proof is the summary: the beginning balance, plus Additions, minus Subtractions and fees, must equal the ending balance, and the number of rows in each group must equal the count KeyBank prints.

QuickBooks and Quicken

KeyBank with Quicken and QuickBooks

KeyBank says you can link accounts or import transactions into Quicken or QuickBooks from KeyBank digital banking. Quicken users can link KeyBank through Express Web Connect, when 3rd Party Access is enabled, or import transactions with Web Connect or Quicken File eXchange. Quicken for Mac and QuickBooks use Web Connect and Quicken File eXchange (QFX) imports.

KeyBank does not publish how far back those downloads reach. For periods they do not cover, convert the statements to QFX for Quicken or QBO for QuickBooks and import them into the same account. Each converted row carries a transaction ID, so where a converted period overlaps a downloaded one, the repeats are recognised rather than doubled.

Commercial

KeyNavigator statements and reports

Commercial clients use KeyNavigator, where the Corporate Banking Statements area holds 24 months of statements for enrolled accounts, downloadable as PDF or in a ZIP file. A ZIP of statements converts in one batch here, one output per statement.

KeyNavigator’s information reporting can also export the previous day report as CSV, TXT, XLS, PDF, QBO and OFX (versions 1 and 2). That covers recent days. For statement periods older than the reporting history, or for a file that must match a statement exactly, convert the statement PDFs.

Credit cards

KeyBank credit card statements

KeyBank credit card statements are kept in the same seven-year online archive, and online banking shows card transaction details with an option to download transaction history. A card statement is proved against its own account summary rather than Additions and Subtractions, and payments and credits are signed as credits to the card. See the credit card statement converter for how that works.

Troubleshooting

Common KeyBank conversion problems

Most KeyBank errors come from the unsigned rows and the separate fee line.

  • Withdrawals show as deposits: the Subtractions heading was not carried onto its rows. Every amount prints without a sign.
  • One more Subtraction than the summary says: fee rows were counted as Subtractions. KeyBank reports Net fees and charges on its own line.
  • The period is off by the fee total: the Fees and charges block was skipped. Those rows are real money out.
  • A check looks missing: Paper Checks lists only the checks paid this period, so a gap in the numbers is usually a check not yet cashed. Compare the count to the summary, not the sequence.
  • Rows dated in the wrong year: rows show month and day only. The year comes from the beginning and ending balance dates.
  • Download stops short: KeyBank does not publish how far back Quicken and QuickBooks downloads reach. Older periods come from the statements.

Before you import

After converting a KeyBank statement, check these

  • The period balancesBeginning balance plus Additions, minus Subtractions and Net fees and charges, equals the ending balance. If not, the difference is shown.
  • The counts matchThe number of money-in rows equals the Additions count, and money-out rows other than fees equal the Subtractions count.
  • Subtractions are negativePaper checks and withdrawals are money out; deposits are money in.
  • Fees present onceEach fee is one row, not missing and not counted again among the Subtractions.
  • Check numbers keptEvery paper check is its own row with its number, ready to match to the bill it paid.
  • Dates in the right yearOn a December to January period, the December rows are in the old year and the January rows in the new one.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

QFX for KeyBank

KeyBank’s own import route for Quicken and QuickBooks is Web Connect or Quicken File eXchange, so a converted QFX for older periods imports the same way into the same account.
