The short answer

Can you export a Citizens Bank statement to Excel?

You can export recent Citizens activity yourself: in online banking, open the account and use the Export button, then pick the download criteria and format. Business customers can also use Download Account Data on the account history page. Citizens shows up to 18 months of transaction history for deposit accounts, so anything older, and anything that has to match a statement, comes from the PDF statement, and converting it gives you the same Excel, CSV or QuickBooks file.

Citizens’ checking disclosures say you can access up to seven years of account statements and check images in the Document Center of Online Banking or the Citizens Mobile App. The Document Center also holds eNotices and 1099-INT and other tax forms.

A converted Citizens statement is checked from end to end: the previous balance, less checks and withdrawals, plus deposits and credits, must equal the current balance, and the converted rows must match every total the statement prints.

Watch for this

Citizens’ own pages give two different answers to “how far back”

Ask how far back Citizens statements go and you will find two answers on citizensbank.com. The Mobile and Online Banking FAQ still says up to 18 months of statements are online in the Document Center, and to use Contact Us for anything older. The checking disclosures and the digital banking terms say up to seven years of statements and check images. Add the fact that transaction history online really is 18 months, and many people stop looking at the 18-month mark and pay for copies they could have downloaded. Check the Document Center itself before ordering anything. Two more gaps catch people out: Citizens says combined statements are not available as Paperless eStatements, and credit card, business loan and relationship statements may not be on the digital service at all.

Step by step

How to convert a Citizens Bank statement

  1. 1Save the statements from the Document CenterSign in to Citizens Online Banking, open the Document Center and save each statement you need as a PDF. Citizens says up to seven years of statements and check images are there, including in the Citizens Mobile App.
  2. 2One account per batchKeep each checking, savings or business account’s statements together, so each converted set lands in the right account in your software.
  3. 3Upload and convertSign in to VouchRow and add the PDFs. Digital statements convert in batches. A scanned paper statement is read with OCR, one at a time. A password-protected PDF is unlocked in your browser; the password is never sent.
  4. 4Check each monthThe rows must take the previous balance to the current balance, and each group must match its total. If not, VouchRow shows the difference, and clicking any row shows its line on the PDF.
  5. 5ExportExcel or CSV to review, QBO for QuickBooks, QFX or QIF for Quicken, or the Xero CSV preset.

Why it works

What converting Citizens statements handles

Seven years, not 18 months

The Export button stops at the 18-month transaction history. Document Center statements go back up to seven years and convert the same way.

Signed by group

Checks and withdrawals come out negative and deposits and credits positive, whatever sign the PDF does or does not print.

Balanced end to end

Each month is proved from the previous balance to the current balance, with the printed totals checked as well.

Checks matched by number

Paid checks keep their check numbers, so they line up with the check images in the Document Center and with your register.

Every row traced to its line

Click a row and the PDF opens at the line it came from. A reviewer can check any figure without leafing through pages.

Scanned copies too

Statements Citizens mails or you request from before the online archive are read with OCR, one at a time.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Archive

How far back Citizens Bank statements go

Citizens’ checking disclosures say up to seven years of account statements and check images are in the Document Center of Online Banking or the Citizens Mobile App, and its digital banking terms say the same for eligible account statements. Some FAQ pages on citizensbank.com still give the older figure of 18 months, with Contact Us for anything older. The Document Center itself is the final word: open it and see how far your list goes before ordering copies.

Not everything is there. Citizens’ terms say credit card, mortgage, business loan, combined and relationship statements may not be available on the digital service, and its fee guide says combined statements are not available as Paperless eStatements. If you receive one combined paper statement for several accounts, keep the paper or scan it.

Paper costs extra on many accounts. Citizens’ personal fee guide lists a $3 monthly paper statement fee for One Deposit Checking, with Paperless eStatements at no charge, and the business guide lists $3 per statement period for paper on Clearly Better Business Checking.

Layout

What a Citizens Bank statement looks like

Citizens does not publish a sample statement or a guide to reading one, so treat this as a description to compare with your own. Citizens checking statements open with the account and statement period and a balance calculation: Previous Balance, Checks, Withdrawals & Debits, Deposits & Credits and Current Balance. The activity follows under the transaction details for the account, in separate groups for checks, other withdrawals and debits, and deposits and credits, each row with a date, an amount and a description.

Amounts are listed without a sign; the group tells you which way the money moved. That is the main thing a conversion has to get right on a Citizens statement, and the balance calculation is what proves it: if any group is read with the wrong sign, the month will not close at the current balance.

Citizens says the eStatement in the Document Center includes identical information to the front and back of the paper statement, so the online PDF and a scanned paper copy of the same month should convert to the same rows.

QuickBooks and Quicken

Citizens Bank with QuickBooks and Quicken

Citizens’ business banking page tells customers to use Web Connect for Quicken or QuickBooks: click Export on the account summary page, or Download Account Data on the account history page, and choose Quicken, Quicken for Mac or QuickBooks. Citizens also says it follows the product sunsetting policy of Quicken and QuickBooks by Intuit, so an old desktop version can stop working with its downloads.

After Citizens moved to a new online platform in 2023, QuickBooks users reported in Intuit’s community that Citizens QBO files would not import, and Intuit tracked it as an open issue at the time. If a downloaded QBO fails, a QBO converted from the statement is an alternative for the same months. Each converted row carries a transaction ID, so where a converted month overlaps a downloaded one, the repeats are recognised.

Business

Citizens business checking statements

Business checking statements carry the same kind of balance calculation and grouped activity. Busy business accounts are where the 18-month transaction history runs out fastest, and where an accountant most often needs a prior year in QuickBooks, so convert the Document Center statements to QBO and import them into the same account.

Citizens does not publish separate statement or download limits for its commercial platforms, so check with your treasury contact if your business banks there rather than in Business Online Banking.

Troubleshooting

Common Citizens conversion problems

Most Citizens problems come from the archive and the unsigned amounts.

  • Export stops 18 months back: that is Citizens’ transaction history limit. Older months are in the Document Center statements.
  • You were told statements stop at 18 months: older FAQ pages say so. The checking disclosures say up to seven years. Check the Document Center.
  • Every withdrawal shows as money in: amounts are unsigned, and the group heading was not carried onto the rows.
  • Balance calculation lines appear as transactions: Previous Balance, Checks, Withdrawals & Debits, Deposits & Credits and Current Balance are totals, not rows.
  • A combined statement is missing online: Citizens does not offer combined statements as Paperless eStatements. Use the paper copy.
  • QuickBooks will not accept a downloaded Citizens QBO: users reported this after the 2023 platform change. A QBO converted from the statement is an alternative.

Before you import

After converting a Citizens statement, check these

  • The month balancesPrevious Balance less checks and withdrawals plus deposits equals the Current Balance. If not, the difference is shown.
  • Withdrawals are negativeChecks and withdrawals are money out, deposits and credits money in, even though the statement prints no signs.
  • No balance calculation rowsPrevious Balance, the group totals and Current Balance do not appear among the transactions.
  • Check numbers presentEvery paid check has its number, ready to match against the check images in the Document Center.
  • Dates in the right yearOn a period that crosses December into January, the December rows are in the old year.
  • Every account accounted forIf you hold several Citizens accounts, each has its own statements and its own converted file.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

Excel for Citizens

Most Citizens conversions are for years the 18-month history no longer shows, pulled from the Document Center for a lender, an accountant or a court. Excel is the easiest way to review those years and hand them on; QBO or QFX can follow from the same conversion.
