The short answer

Can you download a Santander Bank statement in Excel?

Not directly as a statement. Santander Bank, N.A. offers statements as PDF (or a text view) in online banking, and its business online banking downloads transaction history into Quicken or QuickBooks. Santander’s current help pages do not list a personal Excel or CSV download, so check Account Details in online banking for what your account offers. To get a statement into Excel, save the PDF and convert it: you get an .xlsx or CSV that matches the statement period exactly.

This page is about Santander Bank, N.A., the US bank with branches across the Northeast and in Miami, a subsidiary of Banco Santander, S.A. If your statement comes from Santander UK (with a sort code), the menus, fees and layout described here do not apply.

Santander shows 25 months of statements under Statements, then Statements & Documents. It keeps statement copies for seven rolling calendar years, and older ones can be ordered with a Statement Copy Request for a fee.

Watch for this

Same-day rows are in posting order, so check numbers run out of sequence

Santander does not post a day’s activity in the order it happened. Its deposit agreement sets out five groups: deposits first (highest to lowest), then ATM withdrawals, one-time debit card purchases and transfers by date and time, then wires, Santander loan payments and recurring card purchases, then checks, ACH and online bill payments from lowest to highest amount, and fees last. Santander’s own example posts a $50.00 check #240 before a $75.50 check #239. A converter, or a person, that re-sorts rows by check number or by time of purchase breaks the running balance, and an importer that de-duplicates on date and amount can merge two genuine same-day items. The converted file keeps Santander’s printed order and checks each row against the balance that follows it.

Santander Bank statement to Excel

An .xlsx with one row per deposit, purchase, check and fee: date, description, check number where there is one, a signed amount and the balance after it, in Santander’s posting order. Deposits are positive and debits negative, so the amount column sums to the change between beginning and ending balance.

If you sort the sheet, sort by date only. Within a day, Santander’s order is what makes the balance column line up.

Why it works

Built around how Santander posts and prints

Posting order kept

Rows stay in the order Santander posted them, deposits first and checks by amount, so the balance after each row still matches.

Checks by number, not position

Check numbers are kept as their own field, so a check that posted out of sequence can still be matched to its bill.

Periods that are not months

Santander’s statement period may not follow the calendar month. Each converted file follows the period printed on page one.

Balance-checked

The month is proved from the beginning balance to the ending balance, and any gap is shown in dollars at the row where it opens.

Mailed copies too

Statement copies ordered from Santander, or old paper statements, are read with OCR one at a time, the same way.

Every row traced to its line

Click a row and the PDF opens at the line it came from, which is what a reviewer needs when a statement is the evidence.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Every row agrees with the balance printed beside it.

US or UK

Santander Bank, N.A. is not Santander UK

Many “Santander bank statement” searches are British. Santander UK is a separate bank with its own app, its own statement design and its own download options. Santander Bank, N.A. is the US bank, a wholly owned subsidiary of Banco Santander, S.A., with branches across the Northeast and in Miami, Florida. Its US app is listed as Santander Bank US.

A quick test: a US Santander statement shows amounts in dollars and a US routing number; a UK one shows a sort code and amounts in pounds. If your statement is a UK one, the converter still reads it, but the menus and fees on this page are the US bank’s.

Layout

What a Santander Bank statement looks like

Santander’s deposit agreement defines the Statement Period as the period the statement covers, printed in the upper right-hand corner of the first page, and notes it may not always be a calendar month. Each converted file follows that period, and where a row shows only the month and day, the year is taken from it.

Santander does not publish an annotated sample statement. Its Personal Deposit Account Agreement does show how a day’s activity “will be posted on your Account and show on your statement”: a beginning balance, then each transaction with its amount and the balance after it, in posting order. The sample on this page follows that illustration; the exact headings on your statement may differ.

Checks are kept as images too: Santander’s agreement says copies of the front and back of each paid check are kept for seven years, so a converted row with its check number can be matched to the image if a reviewer asks.

Posting order

Why Santander rows are not in time order

After each business day, Santander posts in five groups: all deposits from highest to lowest; ATM cash withdrawals, one-time debit card purchases, teller debits and account transfers by date and time; wires, automatic Santander loan and credit card payments and recurring debit card purchases from lowest to highest; checks, ACH payments and online bill payments from lowest to highest; and monthly and other fees last, also lowest to highest.

That is why a busy day can show a deposit at the top, a coffee purchase from the afternoon above a rent check written days earlier, and checks out of numeric order. The converted file keeps that order so the balance after each row matches the statement, and keeps the check number in its own field for matching.

Business

Santander business statements, QuickBooks and Quicken

Business customers retrieve statements through Business Online Banking or the Business Banking App. For downloads, Santander says to choose Download History from the Accounts tab, pick the account, and select the Quicken or QuickBooks icon.

Analyzed business checking shows an Account Analysis Fee on the checking statement: a summary charge for most of the month’s transaction activity and cash management services, explained on a separate Account Analysis statement. That fee is one row in the converted file; the analysis statement is a breakdown, not more transactions, and should not be converted into the same account.

For periods the download does not reach, convert the statements to QBO for QuickBooks or QFX for Quicken and import them into the same account. Each converted row carries a transaction ID, so overlaps with downloaded months are recognised rather than doubled.

Troubleshooting

Common Santander conversion problems

Most Santander problems come from the posting order and from the UK confusion.

  • The running balance breaks after sorting: rows were re-sorted by time or check number. Keep Santander’s posting order within each day.
  • Two same-day items merged on import: an importer de-duplicated on date and amount. QBO and QFX files with transaction IDs avoid this.
  • Day and month swapped after import: the importer is set for day-first (UK style) dates. Choose MM/DD/YYYY at export for US software.
  • Fee rows from the Account Analysis statement: the analysis statement was converted into the checking account. Only the Account Analysis Fee belongs there.
  • Only two years online: Santander shows 25 months. Older statements are ordered as copies, for a fee, up to seven years back.
  • Paper statement charges: Santander charges $3 per paper statement on most checking accounts ($2 on Essential Checking). Going paperless also puts each statement online as a PDF.

Before you import

After converting a Santander statement, check these

  • The period balancesBeginning balance plus deposits minus debits and fees equals the ending balance. If not, the difference is shown.
  • Posting order keptWithin each day, deposits come first and checks and ACH run from lowest to highest amount, as printed.
  • Check numbers presentEvery check row carries its number, even where checks posted out of numeric order.
  • Right year on every rowFor a period that crosses into January, the year follows the Statement Period, not the export date.
  • No analysis statement rowsOnly the Account Analysis Fee is in the checking account; the analysis breakdown is not.
  • US dates, US bankDates exported as MM/DD/YYYY for US software, and the file set up for Santander Bank, N.A., not Santander UK.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

Excel for Santander

Santander does not publish a personal transaction download format on its current help pages, and most people searching want the statement in Excel. A converted .xlsx keeps the posting order and the balance column, which is what a lender or accountant reviews.

FAQ

Santander statements: questions

How do I download Santander Bank statements in Excel?

Santander provides statements as PDF (or a text view), not as Excel. Save the PDF from Statements & Documents and convert it here to Excel or CSV. Each period is checked against its beginning and ending balance.

Can I get a bank statement online from Santander?

Yes. Log in to online banking and open Statements & Documents from the navigation menu. Santander shows up to 25 months of statements, which you can view, save or print.

How do I request a bank statement from Santander?

For a statement older than 25 months, choose Accounts, then Account Services, then Statement Copy Request, and agree to the statement copy fee. You can also call 877-768-2265 or visit a branch. Santander keeps copies for seven rolling calendar years.

Can I get a Santander bank statement on the app?

Santander’s app (Santander Bank US) gives access to your accounts, but Santander’s statement instructions describe online banking. If you cannot find statements in the app, use Statements & Documents in online banking in a browser.

Can I download Santander transactions as CSV?

Business Online Banking downloads history into Quicken or QuickBooks. Santander’s current help pages do not list a personal CSV option, so check Account Details in online banking. For any statement period, converting the PDF gives you a CSV with the same columns every month.

Is this for Santander UK statements?

No. This page covers Santander Bank, N.A., the US bank. Santander UK is a different bank with its own statements and menus. A UK statement PDF can still be converted, but the menus and fees here will not match.

What does a Santander Bank statement look like?

The Statement Period is printed in the upper right of page one, and may not be a calendar month. Activity is listed with the balance after each item, in Santander’s posting order: deposits first, then card and ATM items, then checks and ACH from lowest to highest, then fees.

Why are my Santander checks out of order?

Santander posts checks, ACH and bill payments from lowest to highest amount, not by check number. Its own example posts check #240 before #239. Converted files keep that order so the balances still match.

Does Santander charge for paper statements?

Yes, on most checking accounts: $3 per statement, $2 on Santander Essential Checking, and no fee on Santander Select Checking or savings. It is waived if an owner is 65 or older.
