The short answer

Can you export USAA statements to Excel?

USAA’s statements are PDFs, kept in My Documents on usaa.com and in the USAA Mobile App, where USAA says you can review, download or print them. USAA does not publish which transaction export formats its online banking offers or how far back they reach, so check the account’s transaction view for the current options. For a full statement period, an older statement, or anything that has to match the statement exactly, convert the PDF to Excel, CSV or QuickBooks.

USAA’s documents help says each category folder in My Documents lists the documents available from the past seven years, and that each document has an Available Through date after which it expires. The default view shows recent documents; widen the delivery date range with the Filter option to see older ones.

A converted USAA checking or savings statement is checked three ways: the running balance on every row, the beginning balance plus credits minus debits against the ending balance, and the number of deposits and withdrawals against the counts in the Activity Summary. Card statements are checked against their account summary.

Watch for this

Two amount columns, a counted summary and pages that repeat the heading

A USAA checking statement does not use one signed amount column. It prints Debits and Credits as two columns beside a running Balance, so a converter has to tell which column each figure sits in; read as one column, every withdrawal becomes a deposit. Above the table, the Activity Summary gives the beginning balance, the number and total of deposits and credits, the number and total of withdrawals and debits, service charges and the ending balance. Those counts are a gift: the converted rows can be counted against them, not just added up. And long statements carry on under a “Transactions (continued)” heading, with a fee table showing totals for the period and the year to date, neither of which are transactions.

Step by step

How to export USAA statements to Excel

  1. 1Save the statement PDFs from USAAOn usaa.com, open My Documents and the statements folder for the account; use Filter to widen the date range for older ones. In the USAA Mobile App, open the document and choose File to save it.
  2. 2One account per batchUSAA issues a statement per account. Keep checking, savings and each credit card in their own batch.
  3. 3Upload and convertSign in to VouchRow and add the PDFs. Digital statements convert in batches. A scanned paper statement is read with OCR, one at a time. A password-protected PDF is unlocked in your browser; the password is never sent.
  4. 4Check against the Activity SummaryEvery running balance, the ending balance and the deposit and withdrawal counts are checked. If anything is off, VouchRow shows the dollar difference, and clicking any row shows its line on the PDF.
  5. 5ExportExcel or CSV to review, QBO for QuickBooks, QFX or QIF for Quicken, or the Xero CSV preset.

Export USAA statements to Excel

An .xlsx with one row per transaction: date, description, a signed amount (debits negative, credits positive) and the running balance from the statement. The Beginning Balance, Ending Balance and Activity Summary lines are what the rows are checked against, not rows themselves.

For a year of statements, convert them in one batch and you get one file per statement; each starts where the last one ended, so the balances line up end to end.

Why it works

Built around how USAA prints a statement

Debits and Credits read as columns

Each figure is read from the column it sits in, so withdrawals come out negative and deposits positive in one signed amount.

Counted, not just added

The Activity Summary prints how many deposits and withdrawals there were. The converted rows are counted against it, which catches a missing row even when amounts offset.

Running balance on every row

The Balance column is checked line by line, so a misread row shows up where the balance stops matching.

Continuation pages joined

Rows under “Transactions (continued)” carry on from the page before. The repeated heading is not read as a row.

Card statements signed as cards

USAA Visa and American Express statements have no running balance. They are proved against the account summary, with payments and credits kept as credits.

Every row traced to its line

Click a row and the PDF opens at the line it came from, for a VA loan file, a divorce or an audit.

Checked before export

A misread digit is caught on its own row

Every conversion is tested against the statement: the running balance on every row, page subtotals, opening plus movement against closing, the printed credit and debit totals, and the transaction count. When a number does not add up, VouchRow names the row and highlights the line it came from on the PDF.

Arithmetic only: it verifies amounts, balances and totals, not descriptions or dates, and two errors that cancel out would pass. The source-line link covers the rest.

Layout

What a USAA bank statement looks like

USAA does not publish a sample statement, so this describes the layout of recent USAA checking statements as customers receive them. The header carries the account number and the Statement Period, for example 09/10/2026 to 10/09/2026. An Activity Summary follows: Beginning Balance, the number and total of Deposits/Credits, the number and total of Withdrawals/Debits, Service Charges and ATM Service Fee, and Ending Balance. A fee table shows each fee’s Total For This Period and Total Year-to-Date.

The Transactions table has five columns: Date, Description, Debits, Credits and Balance. It opens with a Beginning Balance line and closes with an Ending Balance line, and dates print as MM/DD. Long statements carry on under “Transactions (continued)”. Interest Paid Information and an Important Information page close the statement; USAA notes there that transactions on the first and last day of the statement cycle are included.

Older USAA statements, from around 2019 and before, used a different layout, with separate DEPOSITS AND OTHER CREDITS and OTHER DEBITS lists and a summary from BALANCE LAST STATEMENT to BALANCE THIS STATEMENT. If you convert older statements, expect both styles.

Fees

How USAA fees appear on a statement

USAA’s deposit agreement names fees the way they print on a statement, for example “OD Fee -- Item Paid”, along with Stop Pay Fees and Wire Fee. Each one is a debit row in the Transactions table, and the fee table above it repeats them as totals for the period and the year.

In the converted file, fees are rows like any other debit, so they can be labelled together as bank charges. The fee table itself is a summary and is left out.

Credit cards

USAA credit card statements

USAA card statements follow the federal card statement layout. The account summary gives the Previous Balance, payments, purchases, fees, interest and New Balance, with the Minimum Payment Due and Payment Due Date. Transactions are listed with Trans Date, Post Date, Reference Number, Description and Amount, with Payments and Credits in their own group.

Interest Charged ends with Total Interest For This Period, followed by the year’s Totals Year-to-Date for fees and interest, and an Interest Charge Calculation table with each balance type’s APR and Balance Subject to Interest Rate. Only the transactions are rows; the rest is the proof each cycle is checked against.

Older statements

How long USAA keeps statements online

USAA’s documents help says each category folder lists documents from the past seven years, and that availability varies by document: each one shows an Available Through date and expires after it. Check the statements folder for the account to see what is still there.

For an expired document, USAA says it may be able to research and retrieve it, and that there may be a fee; it gives 877-632-3002 for requests. Statements retrieved that way convert like any other.

Troubleshooting

Common USAA conversion problems

Most USAA errors come from the two amount columns and the summary blocks.

  • Withdrawals show as deposits: the Debits and Credits columns were read as one amount. The running balance check catches it on the first row it affects.
  • Row count does not match: the Activity Summary counts deposits and withdrawals. A missing or extra row shows up even when the totals happen to agree.
  • A row called Transactions (continued): the heading repeated on a new page was read as a transaction.
  • Fee totals among the transactions: the fee table’s period and year-to-date totals are a summary, not activity.
  • Older statements convert differently: USAA changed its statement layout; older ones list credits and debits separately.
  • A statement is missing from My Documents: it may be past its Available Through date. USAA may retrieve expired documents on request.

Before you import

After converting a USAA statement, check these

  • The statement balancesBeginning balance plus credits minus debits equals the Ending Balance. If not, the difference is shown.
  • The counts matchThe number of credit and debit rows equals the counts in the Activity Summary.
  • Debits are negativeEvery figure from the Debits column is a withdrawal, every figure from Credits a deposit.
  • No heading or summary rowsNo “Transactions (continued)”, Beginning Balance, Ending Balance or fee-table lines among the transactions.
  • Dates in the right yearOn a statement that crosses New Year, the December rows are in the old year and the January rows in the new one.
  • Transfers matchedA transfer from checking to your USAA savings appears on both statements. Match it as a transfer in your books.

Downloaded activity and statements are not the same thing

Every large US bank offers two different exports, and people reach for the wrong one constantly. Downloadable account activity — CSV, and often QFX or OFX — covers a recent window, typically a few months, and stops. Statements are PDFs, are issued per period, and go back years. If you need last March, the activity export will not have it and the statement will; converting the PDF is how that gap is closed.
Suggested format

QFX for USAA

Quicken connects to USAA and downloads transactions, so many USAA members already track their accounts there. Converted QFX files fill in the statements from before the connection started, in the same account.

How do I download a USAA bank statement?

On usaa.com, open My Documents and the statements folder for the account, then open the statement and save it. In the USAA Mobile App, open the document and choose File.

How long does USAA keep bank statements?

USAA’s documents help says each folder in My Documents lists documents from the past seven years, but availability varies by document: each has an Available Through date. Use Filter to widen the date range for older ones.

What does a USAA bank statement look like?

A header with the Statement Period, an Activity Summary with the beginning balance, counts and totals of deposits and withdrawals, service charges and ending balance, then a Transactions table with Date, Description, Debits, Credits and Balance.

Can I export USAA transactions to CSV?

USAA does not publish its export formats or range, so check the account’s transaction view in online banking. For whole statement periods, convert the statement PDF to CSV; the rows match the statement and are checked against it.

Does USAA work with Quicken?

Yes. Quicken’s support says USAA accounts download both posted and pending transactions when they update. For months before the connection, convert the statements to QFX and import them into the same account.

Can I get an old USAA statement that is no longer online?
